About the position

The Administrative Support position at Kraus-Anderson is responsible for providing comprehensive administrative assistance to Project Teams throughout the lifecycle of construction projects, from preconstruction to project close-out. This role involves coordinating project documentation, managing schedules, and ensuring effective communication among stakeholders to facilitate project success.

Responsibilities

  • Assists in the preconstruction process by acquiring necessary bid documents and plan distribution.
  • Makes phone calls to subcontractors and sends out invitations to bid on each project.
  • Prepares proposal letters when necessary.
  • Prepares and issues subcontracts, purchase orders, and change orders; processes shop drawings, RFIs, PCOs, and other project-related items.
  • Prepares and distributes meeting minutes and composes routine correspondence.
  • Organizes and maintains project documents.
  • Coordinates Project Manager's schedules and makes appointments, including travel arrangements and preparing agendas.
  • Performs various administrative tasks such as answering phones, greeting clients, and processing mail.

Requirements

  • A minimum of 2-5 years in construction-related administrative experience.
  • Proficient knowledge of Project Management software, Bluebeam extreme (or equivalent), Excel, Word, and Outlook.
  • Demonstrates good verbal and written communication skills.
  • Ability to work under pressure, meet deadlines, and prioritize tasks appropriately.
  • Ability to maintain compliance with all company policies and procedures.
  • Ability to exercise independent judgment and work with minimal supervision.
