About the position

The Project Coordinator II at Partnership HealthPlan of California plays a crucial role in supporting and leading the planning, organization, management, and implementation of various projects. This position is designed for individuals who have a higher level of experience compared to a Project Coordinator I, allowing them to work with more autonomy and effectively handle ambiguity in project assignments. The Project Coordinator II is expected to support the successful implementation of projects that range from low to medium complexity, scope, and schedule. They will collaborate closely with project leads to identify and manage project deliverables, dependencies, and critical path milestones, ensuring that all aspects of the project are on track and aligned with organizational goals. In addition to managing project plans and budget summaries, the Project Coordinator II will assist in developing, streamlining, and implementing newly established processes. They will also be responsible for the hand-off of established processes and project deliverables to the appropriate business owners. Regular follow-ups with project stakeholders and subject matter experts will be necessary to ensure that all outstanding project deliverables are addressed in a timely manner. With guidance, the Project Coordinator II may lead the coordination and management of day-to-day project execution, providing both technical and administrative support for the development of business cases, project charters, and other essential project documentation or reports. The role requires effective utilization of project management software, tools, and resources to facilitate project planning and execution. The Project Coordinator II will track, compile, review, and analyze project data and results, maintaining project documentation according to departmental specifications. Communication is key in this role, as the Project Coordinator II will be responsible for updating project teams and leadership on project status, potential risks, and dependencies. They will also develop and distribute communications to project stakeholders, coordinate and facilitate meetings, and plan events, conferences, and webinars as needed. This position is integral to ensuring that projects are executed efficiently and effectively, contributing to the overall success of the organization.

Responsibilities

  • Supports the successful implementation of projects with a range of low to medium complexity, scope, and schedule.
  • Works with project lead to identify and manage project deliverables, dependencies, and critical path milestones.
  • Supports in the development and maintenance of project plans and budget summaries.
  • Supports project team in developing, streamlining, and implementing newly established processes.
  • Assists with the hand-off of established processes, as well as project deliverables to appropriate business owner(s).
  • Follows-up with project stakeholders and subject matter experts on outstanding project deliverables.
  • With guidance, may lead in the coordination and managing of day-to-day project execution.

  • Effectively utilizes project management software, tools, and resources needed for project planning and execution.
  • Tracks, compiles, reviews, and analyzes project data and results.
  • Manages, tracks, processes, and maintains upkeep and/or version control of project paperwork.
  • Maintains project documentation per department specifications.
  • Communicates project status and potential risks or dependencies to project team and/or leadership, as appropriate.
  • Develops and distributes communications to project stakeholders.
  • Effectively utilizes online collaboration applications.
  • Coordinates and facilitates both internal and external meetings.
  • Develops and publishes agendas, meeting minutes, and necessary documentation.
  • Plans and coordinates events, conferences, and webinars, as needed.

Requirements

  • High School diploma or equivalent.
  • Minimum two (2) years of project coordination experience.
  • Effective written and oral communication skills to interpret and articulate project requirements to involved stakeholders.
  • Strong interpersonal and customer service skills.
  • Ability to establish and maintain effective working relationships across all levels within the organization.
  • Detail-oriented with strong organization skills to prioritize assignments and manage time effectively.
  • Strong decision-making, problem solving, and critical thinking skills.
  • Able to work under pressure and meet critical deadlines in a fast-moving environment.
  • Adaptable to a continuously changing environment.
  • Knowledge of project management methodologies is highly desirable.
  • Proficient experience in use of various computer system software including Windows, Microsoft Word, Excel, Outlook, Visio, and PowerPoint.
  • Valid California driver's license and proof of current automobile insurance compliant with Partnership's policy.
