The Project Coordinator II provides assistance in the scheduling, reporting, and quality control functions of all Commercial project activities of varying size and complexity. This role involves analyzing project requirements while evaluating and recommending sound approaches or applications to meet the needs of projects and clients. The Project Coordinator will coordinate project activities and requests for changes from original specifications, acting as a liaison between Sales, Order Fulfillment, Contractors, Engineering, Vendors, Factories, and Transport Companies. Consistently maintaining digital job files with appropriate supporting documents is crucial, as is maintaining an intimate knowledge of clients' project schedule requirements from sales teams and contractor feedback. The role also includes managing risk and establishing project recovery plans, maintaining projects in Sharepoint, providing job account documentation to the credit department, and updating jobs on order sheets to send to customers through Sharepoint. Additionally, the Project Coordinator will reconcile project closeouts and provide partial or full releases to Accounts Receivable, interact and support outside sales employees, engineers, and technical associates as assigned by the department supervisor, and ensure accuracy in all aspects of the jobs from creation until all orders are closed. The position also requires coordinating deliveries and crane meets/lifts, tracking, monitoring, and handling order revisions, and assisting customers and the credit department with credit holds, CODs, and credit card payment information.

Responsibilities

  • Analyze project requirements while evaluating and recommending sound approaches or applications to meet the needs of projects and clients.
  • Coordinate project activities and request for changes from original specifications.

  • Interact and support outside sales employees, engineers, and technical associates as assigned by department supervisor.
  • Responsible for accuracy in all aspects of the jobs from creation until all orders are closed.
  • Coordinate deliveries and crane meets/lifts.
  • Track, monitor and handle order revisions (deductions and additions).
  • Handle credit and rebills, concessions and proof of deliveries.
  • Support and file freight claims.
  • Assist customers and credit department with credit holds, CODs, and credit card payment information.
  • Review part numbers and pricing.

Requirements

  • Required experience in an operational position with high-speed input/output.
  • AA/AS-BA/BS degree or related experience in the HVAC industry preferred.
  • Strong interpersonal, organizational and communication skills with the ability to work with cross functional teams.
  • Good time management and follow-up skills.
  • Proficient in MS Project and MS Office Suite.
  • Accurate data entry skills.
  • Ability to multitask, be organized, pay attention to detail and resolve issues.
  • Work independently with minimal supervision in fast paced work environment.
  • Research using systems and software to obtain product guides, information, catalogs, and manufacturing literature.
  • Respond effectively to daily issues.
  • Establish facts and draw valid conclusions; create and execute plans.

Nice-to-haves

  • Ability to understand or learn mechanical schedule specification interpretation.
  • Required to learn HVAC Carrier Products and software (Sage, HVAC Partners, and vendor websites).
  • Reliable, ability to work hours dictated by the demands of position.
