About the position

The Operations/Project Coordinator plays a crucial role in facilitating and coordinating multiple cross-functional teams to ensure the smooth execution of day-to-day operations. This position requires effective coordination and communication with various teams, including smart/remote-hands and IT-infrastructure facility providers. The candidate will be responsible for managing tasks that vary in complexity and size, demonstrating experience in logistics processes such as Colo/DC/POP site access, smart hands requests, RMAs, inventory management, and audits. In this role, the Project Coordinator will work closely with facility providers and Smart Hands to drive issue resolution, ensuring that all operations align with defined Service Level Agreements (SLAs). The coordinator will also assist in monitoring the ticketing system, collaborating with global teams for seamless shift handovers, and identifying trends or recurring issues that require escalation. Continuous Process Improvement techniques will be leveraged to enhance service and operational efficiency, and the coordinator will be expected to maintain effective communication with both the team and clients. Additionally, the Project Coordinator will assist in maintaining project plans, schedules, and expenditures, participate in client meetings, and work closely with Service Delivery Managers and Project Managers to focus on analytical needs. This role is integral to delivering actionable insights to decision-makers and ensuring that all operational processes are optimized for efficiency and effectiveness.

Responsibilities

  • Facilitate and coordinate multiple cross-functional teams for day-to-day operations.
  • Work closely with facility providers and Smart Hands to drive issue resolution.
  • Coordinate with OEM hardware vendors for RMA shipments to and from facilities.
  • Assist with daily monitoring of the ticketing system and resolving cases within defined SLAs.
  • Collaborate with Coordinators in other global regions for smooth shift handover.
  • Assist in identifying trends or recurring problems and escalate to team lead.
  • Leverage Continuous Process Improvement techniques and update documentation on processes and procedures.
  • Communicate effectively and maintain a good rapport with the team and clients.
  • Assist with maintaining and monitoring ad-hoc project plans, schedules, work hours, and expenditures.
  • Attend and participate in client meetings as required.

Requirements

  • 2-4 years of work experience in logistics, project coordination/management, or similar.
  • Familiarity with Microsoft Excel and Google Suite.
  • Excellent communication skills, both verbal and written.
  • Positive attitude and dependable.
  • Excellent customer-service skills.
  • Ability to work both within a team and independently.
  • Ability to multitask and prioritize workload in a fast-paced environment.
  • Ability to use good judgment, problem-solving, and decision-making skills.
  • Ability to maintain confidentiality and professional decorum.
  • Must be able to work occasional weekend and holiday rotations.

Nice-to-haves
