About the position

The Project Coordinator II will support various projects within the Salesforce AI Research Team, reporting to the operations team that assists the Research Program Manager and COO. This role requires a proactive individual who can work autonomously, communicate effectively, and maintain high organizational standards with attention to detail.

Responsibilities

  • Support procurement and vendor management processes, including security reviews and contract discussions.
  • Open purchase orders (POs) and manage spending against budget, processing change orders as needed.
  • Track paper submissions and ensure timely delivery of marketing materials related to accepted papers.
  • Assist in managing university and conference partnerships or sponsorships during peak seasons.
  • Provide operations support for team events, including in-person attendance as required.
  • Maintain onboarding documents and provide support to hiring managers during the onboarding process.
  • Support the intern program with project plans and budget management during peak seasons.
  • Manage swag purchases, liaising with vendors and distributing goods to employees.

Requirements

  • Create and manage project plans, monitor progress, and adjust schedules as needed.
  • Ensure timely and budget-compliant project delivery while adhering to governance standards.
  • Track project resource utilization and manage against budget allocations.
  • Assist in the day-to-day execution of project implementations, including planning and documentation.
  • Manage one to two large projects and multiple smaller projects requiring cross-functional collaboration.
  • Leverage business knowledge to drive process improvements.
  • Create and maintain comprehensive project documentation.
  • Demonstrate excellent communication skills, both written and verbal.
  • Exhibit strong organizational skills, attention to detail, and multitasking abilities.
