About the position

The Project Coordinator III position at Sutter Health's California Pacific Medical Center Research Institute (CPMCRI) is a full-time role focused on providing essential research operations support. The incumbent will be responsible for creating and maintaining standard operations artifacts, which are crucial for the execution of departmental processes. This role involves coordinating activities and resources in support of one or more small to medium-sized projects that impact multiple departments, systems, and workflows, characterized by medium to high risk, scope, size, and complexity. In this position, the Project Coordinator will develop and maintain tools, processes, and resources that support the institution's infrastructure, working closely with leadership. The role requires collaboration with team members and colleagues across various departments to collect and route information effectively. The Project Coordinator will assist in managing project timelines, escalating issues as necessary, and providing budget monitoring assistance, process implementation, and administrative support. Duties may also include grant planning support and administration, serving as the administrative contact and liaison for both internal and external departments and constituents within their scope of responsibilities. The role demands a high degree of independence, as the Project Coordinator will work with a limited degree of supervision in an environment characterized by multiple and conflicting priorities. The incumbent is expected to anticipate and resolve problems proactively while keeping the Operations Manager updated on the status of tasks and projects. This position is eligible for remote work, allowing for flexibility in the work environment while maintaining a focus on delivering high-quality support to research operations.

Responsibilities

  • Provide research operations support for the California Pacific Medical Center Research Institute (CPMCRI).
  • Create and maintain standard operations artifacts to support departmental processes.
  • Coordinate activities and resources for small to medium-sized projects impacting multiple departments.
  • Develop and maintain tools, processes, and resources to support the institution's infrastructure.
  • Collaborate with team members and colleagues to collect and route information effectively.
  • Assist in managing project timelines and escalate issues as appropriate.
  • Perform budget monitoring assistance and process implementation.
  • Serve as administrative contact and liaison for internal and external departments.
  • Support grant planning and administration as needed.
  • Work independently in a fast-paced environment with competing demands.

Requirements

  • Bachelor's degree in business or equivalent education/experience.
  • 2 years of recent relevant experience in research administration/business support functions.
  • Working knowledge of federal stipulations (Uniform Guidance and FAR) preferred.
  • Experience applying federal stipulations to research business processes in a healthcare or academic setting preferred.
  • Familiarity with Project Management Book of Knowledge (PMOK) and project management methodologies.
  • Advanced skills in budget development, analysis, and monitoring preferred.
  • Experience in preparing regular and ad hoc financial reports preferred.
  • Thorough understanding of current trends and strategies in research, particularly in information services.
  • Advanced knowledge of Microsoft Office Suite (Word, Excel, Outlook) and other IT systems.
  • Experience using Lawson (financial) and Workday (HR) applications preferred.
