About the position

The Project Coordinator IV position at Medtronic is a pivotal role that provides logistical, administrative, and decision-making support for the Navigation Access Center (NAC). This position is responsible for coordinating and scheduling all capital and disposable products managed by the NAC, overseeing system logistics, and managing system transportation. The coordinator will also be tasked with updating and maintaining the regulatory database and NAC department databases, ensuring that all processes are compliant and efficient. A key focus of this role is to enhance customer satisfaction levels throughout the organization, which involves assisting with data gathering, quality compliance, and inputting information into the program's processes to ensure effective evaluations or cases at each site. The Project Coordinator will interface with various levels of the organization, maintaining document and data management processes that are crucial for revenue-generating opportunities. Additionally, the role involves compiling and reporting operational and financial metrics relevant to the field Sales and Services organization. This position is based in Lafayette, CO, and is not open to remote work, emphasizing the need for on-site presence to effectively manage the responsibilities associated with the NAC. In a typical day, the Project Coordinator may communicate with Field Sales, Marketing, and Education organizations to gather necessary information for scheduling system evaluations, demos, hospital in-service training, meetings, and tradeshows. They will also ensure compliance with internal processes and assist the Sales Operations Team with daily production management, including scheduling and prioritization issues. The coordinator will contribute to quality improvement processes by retrieving data and generating trending reports, and may assist in leading ongoing training for employees, customers, and technicians. Furthermore, they will support the Sales Operations Supervisor in ensuring that proper training guidelines, materials, and procedures are adhered to by production personnel on the production floor. Overall, this role is integral to the successful operation of the NAC and the broader objectives of Medtronic.

Responsibilities

  • Communicate with Field Sales, Marketing and Education organizations to gather information needed to schedule system evaluations, demos, hospital in-service training, meetings and tradeshows.
  • Ensure compliance with internal processes in collaboration with the Field Sales organization.
  • Assist Sales Operations Team with daily production management including scheduling and prioritization issues.
  • Contribute to quality improvement processes through data retrieval and trending reports.
  • Assist and may lead ongoing training to employees, customers and technicians for future development.
  • Support the Sales Operations Supervisor to ensure proper training and training guidelines, materials, and procedures are followed by production personnel.
  • Assist in the development, implementation, and administration of program/project initiatives of Field Sales and Services.
  • Help the Sales Operations team with reporting and metrics.
  • Provide backup coverage for Supervisor in meetings.
  • Perform duties in compliance with environmental, health and safety related site rules, policies or governmental regulations.

Requirements

  • Minimum of 6 years of relevant experience.
  • Proven ability to prioritize workload and meet deadlines.
  • Independently performs specialized function-related administrative tasks.
  • Proficiency in Salesforce and extensive knowledge of enterprise applications used within the department (i.e. SalesForce, SAP).
  • Proficient in the use of PC applications including Microsoft Office suite.
  • Previous customer service experience.
