The Sales Project Coordinator is responsible for supporting the Endoscopy commercial leadership team and other team members with administrative tasks, project coordination, and general clerical support. This role is crucial in ensuring that the team operates efficiently and effectively, allowing them to focus on their core responsibilities. The position reports to the Vice President of Sales and Marketing and is preferred to be flexible, with three days onsite. Potential locations include Lafayette CO, Minneapolis MN, Duluth GA, or Boston MA, with remote work considered for the right talent. The Endoscopy Operating Unit at Medtronic is dedicated to disrupting the status quo in the detection, prevention, and treatment of gastrointestinal cancers and chronic diseases. By commercializing transformational technologies, the unit aims to improve patient management and standards of care while increasing access to innovations globally. The Sales Project Coordinator will play a vital role in this mission by actively participating in the Commercial Leadership Team, identifying issues, and using effective problem-solving techniques to manage various situations. This position requires a high level of discretion and the ability to recommend alternative approaches to the Vice President and other team members. In addition to administrative duties, the Sales Project Coordinator will provide support for complex meetings, manage the US sales roster, assist with onboarding and offboarding of sales personnel, and coordinate special events such as the National Sales Meeting and President's Club. The role also involves drafting correspondence, reports, and forms, demonstrating effective cultural sensitivity, and maintaining confidentiality. The ideal candidate will be self-motivated, possess excellent communication skills, and have a strong attention to detail, ensuring that all tasks are completed to a high standard.

Responsibilities

  • Active participant and member of the Commercial Leadership Team
  • Identify issues and use effective problem-solving techniques, tact, and discretion in managing a variety of situations
  • Perform various administrative duties including research, travel arrangements, meeting scheduling, candidate interviews, and expense reporting for VP of Sales & Marketing
  • Provide administrative support for complex meetings, demonstrating capability in audio conferences, video conferences, and a mastery of other technology as needed
  • Assist/drive planning and coordination for National Sales Meeting, President's Club, training events/other meetings associated with Sales & Marketing
  • Manage US sales roster, confidential records, files, organizational charts, distribution lists and new hires/departures
  • Assist with onboarding and offboarding of sales personnel
  • Manage comprehensive commercial calendar including key meetings, training, conferences, internal operating mechanisms, birthdays, etc
  • Order supplies and equipment
  • Acts as an information resource on organizational policies and procedures
  • Draft correspondence, reports, and forms with superior grammar and formatting
  • Assist with the development, implementation, and administration of projects and procedures, including presentations to Senior Leaders and key stakeholders
  • Act as liaison with other Administrative Assistants to share information and develop policies and procedures
  • Lead and/or coordinate project or program support for the team which may include special projects/monitoring program/project/system status, budgets and timetables
  • Gather and compile information for reports, presentations and dashboards
  • Provide other administrative and project management support as needed to commercial team

Requirements

  • High School Diploma or GED
  • Minimum of 6 years of relevant administrative support experience
