As a Project Coordinator IV, you will support our VP of Marketing and Senior Directors who lead our Defibrillation Solutions business. This role is crucial in improving and expanding our global impact, as our team is responsible for leading product and clinical data launches with excellence. Your organizational skills and proactive nature will be essential in supporting the training of new employees and reinforcing committed collaboration with our customers. In this position, you will provide expert administrative support, which includes preparing communications, maintaining calendars, coordinating meetings and conferences, and managing travel arrangements both domestically and internationally. You will also be responsible for submitting expenses and nurturing the team culture through open and transparent communication. Your ability to anticipate next steps and exercise sound judgment will ensure that the executives are well-prepared for their daily and weekly schedules. You will develop effective professional relationships with internal and external stakeholders, plan and coordinate special meetings, and perform a variety of non-routine administrative tasks. This role requires a high level of energy and the ability to work independently in a fast-paced environment, while also being able to manage multiple projects and competing priorities effectively.

Responsibilities

  • Provide expert administrative support including preparing communications, maintaining calendars, meeting and conference coordination, travel coordination (domestic and international), and submitting expenses.
  • Nurture the team culture through open and transparent communication, identifying areas where coordination is required between groups and collaborating with other teams.
  • Support team operating mechanisms including team meetings, celebrations, quarterly business reviews, and other business processes by ensuring deadlines and deliverables are clear and ensuring adequate work time is preserved.
  • Work independently, anticipating next steps, taking initiative, exercising discretion and sound judgment to ensure the executives are well-prepared for all elements of their daily and weekly schedules.
  • Develop effective professional relationships and partnerships with internal and external stakeholders and organizations.
  • Plan, prepare, and coordinate special meetings including agendas, meeting materials, logistics, action items, travel, and catering.
  • Perform a wide variety of non-routine administrative tasks and may support special projects or assignments.

Requirements

  • High School Diploma or equivalent
  • Minimum of 6 years of administrative experience supporting multiple individuals with competing needs
  • Proficient in Microsoft Outlook, Excel, Power Point, Word, Teams

Nice-to-haves

  • An Associate's degree or Bachelor's degree preferred but not required
  • Experience with booking travel, processing expenses, coordinating meetings & agenda development, and maintaining calendars
  • Previous healthcare industry experience interfacing with healthcare customers
  • Ability to work independently to achieve results
  • Technical computer skills and the ability to troubleshoot basic IT issues
  • Problem solving analysis and research abilities
  • Able to communicate intelligently and confidently with physicians and high-level executives
