About the position

The Engineering Project Coordinator at Kratos Defense & Security Solutions, Inc. is a pivotal role that provides essential administrative support to the Engineering Division. This position requires close collaboration with Department Leadership, project team members, program managers, and customers to ensure smooth business operations. The coordinator will assist in planning and scheduling project tasks, monitoring project budgets, identifying potential budget shortfalls and overruns, and compiling and evaluating data to prepare comprehensive project and budgetary reports. The role demands a proactive approach to project management, requiring the individual to work closely with various stakeholders including project managers, Department Directors, and the Division Vice President, as well as clients and subcontractors. In this role, the Project Coordinator will monitor and evaluate project execution, conduct cost estimating and analysis, and schedule resources as necessary. They will track project budgets and percent completions, raising awareness of any developing financial issues to the Director. The coordinator will also be responsible for performing editorial reviews of project documents to enhance the quality of submissions and will maintain corporate documentation, correspondence, and confidential employee files. Additionally, they will serve as a centralized point of contact for various administrative functions including employee onboarding, marketing initiatives, procurement, IT support, and meeting organization. The Project Coordinator will generate reports, manage routine correspondence, and prepare presentations for the department. They will ensure effective communication in the absence of leadership and maintain various organizational tools such as cell phone distributions, leadership calendars, and travel arrangements. The role also includes entering data into spreadsheets, performing financial calculations, and preparing project reports by drafting sections and tabulating data. Strong communication skills, attention to detail, and the ability to manage multiple tasks are essential for success in this position.

Responsibilities

  • Provide administrative support to Department Leadership and project teams.
  • Assist in planning and scheduling project tasks.
  • Monitor project budgets and identify potential shortfalls and overruns.
  • Compile and evaluate data for project and budgetary reports.
  • Track project budgets and percent completions for early signs of financial issues.
  • Work with project managers to address developing financial problems.
  • Contact and collaborate with clients, project partners, and subcontractors as needed.
  • Perform editorial reviews of project documents to improve quality.
  • Organize and maintain corporate documentation and confidential files.
  • Serve as a centralized point of contact for various administrative functions.
  • Generate reports and manage routine correspondence for the department.
  • Create, format, and maintain reports, papers, and presentations.
  • Ensure communication continuity in the absence of leadership.
  • Maintain Division cell phones, organizational charts, and leadership calendars.
  • Perform other administrative support duties as required.

Requirements

  • US Citizenship required.
  • Ability to obtain/maintain security clearance at a level equivalent to Department of Defense (DOD) SECRET.
  • Bachelor's degree in Business or 10 years of project management experience.
  • Knowledge of fundamental concepts, practices, and procedures in project management.
  • Effective verbal and written communication skills.
  • Detail-oriented with excellent planning and organizational skills.
  • Strong interpersonal skills and ability to work with individuals at all levels.
  • Demonstrated ability to utilize MS Office Suite and database tools.
  • Active US Security Clearance.
