About the position

The Project Coordinator, Operations at Northwestern University is responsible for providing operational support services within the Alumni Relations and Development (ARD) team. This role involves managing incoming requests, tracking project statuses, and assisting with email communications and event registration for alumni club volunteers. The position requires a highly organized individual who can work independently and collaboratively to enhance the operational functions of the department, ensuring compliance with university policies and regulations.

Responsibilities

  • Monitor inboxes and ticketing systems for tasks and respond to alumni/client inquiries.
  • Keep interested parties updated with the status of their project requests.
  • Assist with preparing training materials and setting up training courses for the new email and event communications platform.
  • Gather performance metrics and perform light data analysis.
  • Create email campaigns and event registration pages aligned with ARD's content guidelines.
  • Recommend changes and improvements to operational services strategies to better meet client needs and objectives.
  • Collaborate with internal department partners and respond to inquiries from Northwestern Alumni Association staff and alumni volunteers.
  • Review operational services and interact with clients to gain insights and optimize client satisfaction.
  • Coordinate the collection, analysis, and reporting of required information for surveys and review documents.
  • Implement ongoing operational services data integrity initiatives and participate in quality assurance of processes.

Requirements

  • Bachelor's degree from an accredited college or university.
  • 2 years of experience in operations, administration, or development.
  • Strong customer service focus and analytical thinking skills.
  • Ability to work in a fast-paced environment with high attention to detail.
