The Project Coordinator will play a crucial role in assisting Project Managers with the organization and execution of both new and ongoing projects within the Project Management Office (PMO). This position involves monitoring project plans, schedules, work hours, budgets, and expenditures, as well as organizing and participating in stakeholder meetings to ensure that project deadlines are met in a timely manner. In this role, the Project Coordinator will support the planning, coordination, and execution of various projects and initiatives within the PMO. Responsibilities include administrative duties such as scheduling meetings, tracking tasks, following up with team members, taking meeting notes, creating action items, assigning resources with clear deadlines, and distributing meeting summaries. The coordinator will also be responsible for data and metrics tracking, reporting requirements, and working with various internal business systems to gather necessary data. The Project Coordinator will support project tracking by coordinating and scheduling weekly status meetings, monitoring and revising detailed project schedules/plans, and maintaining all proper and updated forms and deliverables. This includes ensuring that project plans, schedules, work hours, budgets, and expenditures are accurately maintained. Additionally, the coordinator will assist in the development of presentations and updates for projects in various tools, organize and participate in stakeholder meetings, document important actions and decisions, and prepare necessary presentation materials. The role requires a proactive approach to ensure project deadlines are met, assess project risks and issues, and provide solutions where applicable. The Project Coordinator will also manage stakeholder views towards the best solutions, chair and facilitate meetings when appropriate, and distribute minutes to all project team members. A project management calendar will be created to fulfill each goal and objective, ensuring that all projects adhere to established frameworks and that documentation is maintained appropriately for each project.
