About the position

The Project Coordinator at the American Heart Association plays a crucial role in supporting the Primary Care Initiatives team within the Emerging Strategies department. This position involves providing administrative and operational support, managing contracts and invoicing, coordinating meetings and events, and facilitating communication among stakeholders. The role is essential for ensuring the smooth operation of projects and initiatives aimed at promoting health and well-being.

Responsibilities

  • Provides administrative and operations support for the primary care initiatives team.
  • Responds to requests from coworkers and stakeholders in a timely manner, ensuring excellent customer service.
  • Facilitates contract and account services requests, prepares contracts, and ensures completion and close-out of open internal service requests.
  • Processes contracts and invoices as needed.
  • Supports meeting and event planning and logistics.
  • Maintains project management spaces for key projects and supports project management processes.
  • Develops and maintains accurate documents such as committee rosters, project plans, and meeting notes.
  • Leads special projects as requested, including literature reviews and landscape analysis.
  • Utilizes vendor and American Heart Association systems efficiently to complete duties and projects.
  • Develops and maintains documentation on key administrative processes.

Requirements

  • High School Diploma or Equivalent required.
  • 2 to 5 years of experience in project coordination or a related field.
  • Proficiency in basic contract processes.
  • Ability to prepare clear and professional written and presentation communications in English.
  • Excellence in customer service.
