About the position

This position of Project Coordinator in our Professional Memberships group is located at our National Center office in Dallas, TX, and will work in a hybrid setting, requiring in-office attendance 1 to 2 days a week. The role is designed to support the Professional Memberships team by managing various administrative and project management tasks, ensuring smooth operations and effective communication within the team. In this role, you will serve as the lead for Microsoft Dynamics Customer Relationship Management (CRM), providing ongoing support through training, reporting, testing, and the creation of job aids. You will collaborate closely with the Association's Dynamics technical team and participate in monthly CRM training and support meetings. Additionally, you will be responsible for updating, maintaining, and improving onboarding job aids to ensure they are accurate and relevant. Your responsibilities will also include overseeing the Conflict-of-Interest process within the Convey system, ensuring compliance and timely updates, as well as providing comprehensive meeting preparation support, including agenda creation, documentation, and logistics coordination. You will deliver operational support to the team and director, assisting in various administrative tasks and projects, and managing the national committee nomination process to ensure smooth and efficient workflows. Maintaining up-to-date and accurate organizational charts for the team and department will also be part of your duties. Furthermore, you will support the Professional Memberships team in onboarding new hires by coordinating department onboarding activities and ensuring new staff have the necessary resources. Regularly reviewing and updating council committee web content to ensure accuracy will be another key aspect of your role.

Responsibilities

  • Assist in managing the national committee nomination process, ensuring smooth and efficient workflows.
  • Maintain up-to-date and accurate organizational charts for the team and department.
  • Support the Professional Memberships team in the onboarding of new hires by coordinating department onboarding activities and ensuring new staff have the resources they need.
  • Monitor and ensure the accuracy of council committee web content, regularly reviewing and updating as needed.

Requirements

  • Two (2) years of related professional experience involving administrative and/or project management work.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).
  • Strong verbal and written communication skills paired with exceptional customer service abilities.
  • Ability to manage and prioritize multiple projects effectively to meet deadlines.
  • Ability to be highly organized with excellent attention to detail and a proactive approach to tasks.
  • Ability to work independently with a results-driven mindset to achieve key deliverables.
  • Experience with Microsoft Dynamics is a plus.

Nice-to-haves

  • Experience with project management software.
  • Familiarity with CRM systems other than Microsoft Dynamics.
