About the position

The Project Coordinator (PC) at Salas O'Brien plays a crucial role in providing administrative support to the internal design team throughout the entire lifecycle of projects. This position requires a customer service focus, as the PC will interface with staff, clients, and vendors while managing project information flow. The PC is responsible for ensuring that projects meet the company's quality standards and will assist in various administrative tasks, including document management and communication with stakeholders.

Responsibilities

  • Assist Team Leader with Team Meeting Management
  • Attend Team Meetings and manage the Team Outlook Calendar
  • Convert meeting agendas to meeting minutes and distribute to the team
  • File all incoming project materials electronically
  • Send project materials out of the office electronically when possible
  • Type, print, pdf, bind, and distribute project specifications
  • Type reports, design meeting minutes, studies, and Life Cycle Cost Analysis (LCCAs)
  • Create and maintain a digital stick set of plans
  • Submit advertisements to bid and notices to bid
  • Process addendums and respond to calls from bidders
  • Distribute plans and specifications to bidders in electronic format
  • Solicit participation in bids by contacting contractors directly
  • Set up bid tabulation reports in Excel
  • Create final bid tabs and distribute them to owners and contractors
  • Produce field reports consistent with SO standards
  • Scan, distribute, and file bulletin drawings
  • Receive and verify pay applications for SO led projects
  • Enter change order data for processing
  • Complete SO standard change order forms and distribute them
  • Log incoming RFIs and submittals into the Newforma System
  • Coordinate submittals and complete SO standard RFI forms
  • Create status reports using the Newforma System
  • Coordinate closeout documents

Requirements

  • High school diploma; college degree a plus
  • Previous experience in an administrative field
  • 2-5 years' experience in an engineering or construction company preferred
  • Familiarity with MS Word, Excel, and Outlook

  • Demonstrate familiarity with architecture and construction
  • Knowledge of administrative and clerical procedures & systems
