About the position

The Project Coordinator will support the IT Project Manager in coordinating and administering web development project activities. This role is essential for ensuring projects are completed on time, within scope, and aligned with organizational goals. The coordinator will handle documentation, communications, scheduling, task tracking, and presentation creation, contributing to the overall success of the project team.

Responsibilities

  • Assist the Project Manager in decomposition of the Product Backlog with user stories, tasks, and other Azure DevOps items.
  • Create, manage, and update project documentation, including project plans, status reports, meeting minutes, and standard operating procedures.
  • Monitor project tasks, milestones, and deadlines using Azure DevOps to ensure timely completion.
  • Update task tracking systems and report on progress to the IT Project Manager and stakeholders.
  • Prepare and edit PowerPoint presentations for project meetings and stakeholder updates.
  • Facilitate effective communication among project team members, stakeholders, and customers.
  • Schedule meetings, prepare agendas, and follow up on action items.
  • Coordinate project resources, including scheduling team members and managing resource allocation.
  • Track and document project risks and issues, escalating them to the IT Project Manager as needed.
  • Provide general administrative support to the project team, including managing project files and organizing project-related events.
  • Track project budgets and expenditures to ensure financial constraints are met.
  • Support the IT Project Manager in ensuring project deliverables meet quality standards and requirements.
  • Suggest and implement process improvements to enhance project coordination and efficiency.

Requirements

  • Bachelor's degree in Information Technology, Business Administration, or a related field preferred.
  • Minimum of 2 years of experience in a project coordination role, preferably within an IT environment.
  • Proficiency in Microsoft Office Suite, particularly PowerPoint, Excel, Word, and Lucid Chart and/or Visio.
  • Experience with project management software such as Jira or Azure DevOps, with a solid understanding of Scaled Agile Framework practices.
  • Strong verbal and written communication skills.
  • Exceptional organizational and multitasking abilities with keen attention to detail.
  • Ability to anticipate potential project challenges and proactively address them.
  • Collaborative mindset with the ability to work effectively in a team-oriented environment.
  • Excellent time management skills with the ability to prioritize tasks and meet deadlines.

Nice-to-haves

  • Experience in the IT industry or working on IT-related projects.
  • Understanding of fundamental IT concepts and processes, including software development lifecycle, on-premises SQL databases, Azure Cloud, and Application Programming Interfaces (API).
  • Familiarity with Agile methodologies, including Scrum or Kanban.
