About the position

The Sales Operations Specialist at CFX Products is responsible for providing administrative support to the sales team, ensuring smooth operations and organization. This role focuses on managing sales orders, processing purchase requests, preparing estimates, and facilitating coordination between departments. The ideal candidate will be organized, proactive, and capable of multitasking to meet deadlines, contributing to the success of customer projects in a dynamic environment.

Responsibilities

  • Organize and assist the sales team in day-to-day operations, ensuring tasks are completed on time.
  • Provide administrative support to both team leaders and support roles.
  • Accurately generate and process sales orders, ensuring customer projects are supported with timely and correct documentation.
  • Handle purchasing requests, monitor purchase orders, and ensure that materials are ordered and tracked efficiently.
  • Assist in preparing quotes and bids, handling pricing aspects for assigned projects.
  • Oversee and manage system templates within the ERP system, ensuring they are up-to-date and aligned with company standards.
  • Process and track change orders to ensure all changes are managed until the project is completed.
  • Communicate with other departments, including production, shipping, engineering, and customer service, to ensure seamless operations.
  • Use Smartsheets, SharePoint, and other tools to manage project data, generate reports, and track performance.

Requirements

  • Customer service experience is required for managing internal coordination and supporting sales functions.
  • Experience in managing customer accounts or handling project management tasks is a plus.
  • Estimator or pricing experience is preferred for handling quotes, bids, and pricing tasks.
  • Experience with ERP systems is a plus.
  • Proficient in Smartsheets, SharePoint, Microsoft Word, Excel, and Outlook.
  • Strong organizational skills with the ability to multitask, manage time effectively, and prioritize tasks to meet deadlines.
  • Strong verbal and written communication skills, with the ability to work both independently and collaboratively.

Nice-to-haves

  • Experience with pricing and estimation is preferred.
  • Experience in project or account management is a plus.
