About the position

The Project Coordinator/Sales Support role at WCP Solutions in Portland, OR, is a full-time position focused on providing exceptional customer service and project management within the Converting Division. The successful candidate will engage in daily interactions with customers, handling various tasks such as estimating, order entry, and sales support. This position is crucial for ensuring that customer needs are met efficiently and effectively, contributing to the overall success of the sales team. In this role, you will be responsible for accepting and processing customer orders via telephone, email, or in-person, while maintaining a high standard of customer service. You will collaborate closely with Account Managers to facilitate price quotes, establish project timelines, and provide comprehensive sales support. Additionally, you will assist customers with inquiries regarding delivery times, lost orders, returns, and price adjustments, ensuring that all customer product inquiries are addressed promptly and accurately. Tracking backorders and future orders will be a key part of your responsibilities, as you work to ensure timely product receipt for customers. You will also communicate relevant customer information, opportunities, and issues to Account Managers to enhance the flow of information. Sourcing new or custom items, researching options, and obtaining quotes from suppliers will be essential tasks to provide effective product solutions. Moreover, you will be responsible for creating and maintaining vendor files, processing supplier purchase orders, and managing mill claims. The role may also involve overseeing key accounts and primary vendors to optimize inventory investment and turnover goals. Other functions may include preparing customer-specific order guides and processing inquiries from Account Managers to support sales and service requirements. This position requires a detail-oriented individual who can manage multiple projects simultaneously while maintaining a professional demeanor in a fast-paced environment.

Responsibilities

  • Accept and process customer telephone, e-mail, or walk-in orders while providing exceptional customer service.
  • Work with Account Managers and Customers to facilitate price quotes, project timelines, and overall sales support.
  • Assist customers with problems, delivery times, lost orders, returns, price adjustments, etc.; answer customer product inquiries.
  • Track backorders and future orders for customers and Account Managers to assist in timely customer receipt of product.
  • Communicate customer-related information, opportunities, and problems to Account Managers to facilitate information flow.
  • Source new/custom items and research options, information, and obtain quotes from suppliers to seek product solutions.
  • Create and maintain acronyms, vendor files, and vendor cost changes.
  • Place and follow up on supplier purchase orders to ensure product availability.
  • Promptly research and process mill claims.
  • Responsible for the timely processing of defective and returned merchandise.
  • Prepare customer-specific order guides on request.
  • Process inquiries from Account Managers to support sales and service requirements.
  • Oversee assigned customers' stock levels and order entry.
  • Perform other functions as necessary.

Requirements

  • Three years of customer service or industry-related experience.
  • Bachelor's or associate's degree in business, Marketing, Communications, or a closely related field preferred.
  • Proficiency with Microsoft Windows and current versions of Microsoft Office.
  • Highest level of professionalism with ability to maintain confidentiality.
  • Effective verbal and written communications skills.
  • Ability to communicate at all levels of organization and work well within a team environment.
  • Customer service oriented, with the ability to work well under pressure.
  • Strong aptitude for math, critical thinking, and problem-solving skills.
