We are recruiting on behalf of our client, Grindley Williams Engineering (GWE) in Lakeland, Florida, for a full-time Project Coordinator/Scheduler. This position is integral to the forensic department, enhancing its effectiveness by providing professional administrative support to the team. The Project Coordinator will be responsible for organizing services that support the team, including scheduling assignments and maintaining communication with clients. The Project Coordinator will coordinate engineers' schedules by initiating calls to homeowners or their representatives to set up site visits, updating calendars, and maintaining databases. Regular communication with clients regarding scheduling updates, timeframes, and assignment details is essential. The role also involves verifying project information, maintaining up-to-date project details across multiple databases, and collaborating with engineers and technicians to ensure effective scheduling and project execution. The Project Coordinator will provide general administrative support and assist with miscellaneous tasks as needed, ensuring that the team operates smoothly and efficiently. Responsibilities

  • Coordinates engineers' schedules by initiating calls to homeowners or their representatives to set up site visits and updating calendars and databases.
  • Communicates regularly with clients regarding scheduling updates, scheduling timeframes, and assignment details.
  • Verifies correct project information (scope of work, homeowner name, address, contact information, etc.).
  • Maintains up-to-date project information across multiple databases as new information/supplemental documents are received.
  • Communicates with engineers and technicians regarding schedules, project details, and appropriate equipment to accomplish inspections.
  • Works closely with other schedulers to ensure balanced scheduling timeframes and engineer workloads.
  • Provides general administrative support and other miscellaneous tasks as needed.

Requirements

  • High school diploma or equivalent required.
  • Associate degree preferred.
  • Minimum 2 years in an administrative role.
  • Previous work experience in an engineering company is preferred.
  • Experience in technology-based office management and/or office support (Microsoft Word, Adobe Acrobat, Excel, and Outlook).
  • Excellent verbal and written communication skills.
  • Ability to perform administrative tasks with a high level of attention to detail and organization.
  • Ability to effectively prioritize tasks and time demands in a fast-paced environment.
  • Ability to multi-task and adapt to last-minute requests and changes.
  • Ability to follow and apply procedures.
  • Ability to work independently and/or collaboratively.
  • Ability to work well with various personalities within the organization and community.

Nice-to-haves

  • Bilingual (Spanish) is a plus.
