About the position

Ocean Park Mechanical (OPM) is a leading design-build mechanical contractor operating in the Western USA and Western Canada, with a focus on providing efficient systems for various projects, including residential, commercial, and industrial sectors. The Project Coordinator/Service Administrator plays a crucial role in supporting the Project Manager by managing project details and acting as a liaison between the project team and various technical disciplines. This position involves coordinating service requests, preparing necessary documentation, and ensuring that all project-related tasks are executed smoothly. The Project Coordinator will be responsible for overseeing one or more projects or teams, ensuring that all aspects of the project are aligned with the established goals and objectives. This includes preparing quotes, creating work orders, and tracking materials, as well as managing communication with suppliers and clients to ensure satisfaction throughout the project lifecycle. The role requires a strong understanding of construction methods, attention to detail, and the ability to manage multiple tasks effectively. The Project Coordinator will also be involved in evaluating manpower efficiency, monitoring job progress, and ensuring compliance with building codes and safety regulations. Responsibilities

  • Responsible for oversight of one or more projects/teams or large complex projects
  • Receive and coordinate service requests
  • Prepare quotes based on technician problem reports
  • Create work orders, purchase orders, and secure equipment when job has been approved, track materials until ready for pick up
  • Establish a project guideline for each approved project that defines the goals, objectives, risks, assumptions, staffing levels, roles and responsibilities, work breakdown structure, milestones and deliverables
  • Update filters list, order monthly filters, and receive filter invoices
  • Coordinate sub-trades and deliveries
  • Reconcile invoices
  • Follow up with unapproved quotes
  • Track correspondence with suppliers and customers and provide follow up with
  • Create new service contract proposals, contracts, and invoicing of contract
  • Work with all suppliers to ensure quality and cost control
  • Oversee and monitor all trade contractor change orders and owner-driven changes
  • Monitor labor hours and job progress and cost
  • Oversee and distribute project documents where required (RFI's, procurement, change logs, submittal schedules, POs, etc.)
  • Ensure applications are submitted for required permits
  • Evaluate manpower efficiency and make adjustments if required
  • Manage completion requests for occupancy/close out and create owner manual
  • Act as a liaison between the general contractor(s) and the sub-trades
  • Resolve conflicts between OPM employees, general contractor, and sub trades
  • Ensure client satisfaction throughout the life cycle of the project

Requirements

  • 3-5 years of experience in Plumbing/HVAC field
  • Coordination Jobsite experience would be considered an asset
  • Ability to interpret blueprints, specifications, inspection reports, etc.
  • Significant knowledge of construction methods as well as an understanding of municipalities and the permit processes
  • Attention to detail and problem-solving skills
  • Strong communication and collaboration skills
  • Skilled negotiator with the ability to track change orders with both owners and subcontractors
  • Ability to ensure accurate completion of project scope
  • Meets sensitive deadlines on a consistent basis
  • Ability to manage multiple projects and tasks at a time
  • Sound knowledge of Building Code and Safety Regulations
  • Strong knowledge of MS Office suite including MS Excel, and MS Project
