About the position

The Project Coordinator position is responsible for providing specialized project management and administrative support to the Senior Operations Officer within the Plant Maintenance & Operations Center. This role involves managing administrative workflows, coordinating special projects, and ensuring effective communication across various departments. The position requires a general understanding of construction or building repair and maintenance, as well as public bid law and procurement practices.

Responsibilities

  • Provides project management support across the Operations Division.
  • Manages administrative workflow and applies detailed knowledge of policies and procedures.
  • Plans, coordinates and manages special projects; analyzes operational functions and systems, and coordinates projects with MPS departments.
  • Maintains projects' calendars and schedules, and coordinates department meetings.
  • Responsible for edits and processing projects' memoranda, reports, and technical documents.
  • Supports communication across the Operation Department's different divisions.
  • Coordinates communication of project issues, progress, timelines and results with MPS departments.
  • Collects statistical information and data on programs, performance measures, and operational issues; analyzes alternatives and makes recommendations; reviews findings with Senior Operations Officer and prepares reports of study conclusions and recommendations.
  • Maintains personnel and administrative files; oversees budget and expenditures; processes invoices, purchase requests, contracts, expense reimbursements, special requests, leave requests and payroll; researches files and computer databases.
  • Supports in the preparation of project reports for notification of interested parties and leadership.
  • Prepares and submits specific mitigation plans for projects; presents such plans to concerned individuals and groups.
  • Documents, maintains current records, notes and related information in electronic and manual files.
  • Exercises initiative in performing duties and resolving problems.
  • Provides information and assistance to MPS staff, visitors and others having business with the Operations Division; resolves problems and customer service inquiries within scope of authority.
  • Maintains required files and records; may process invoices, purchase requests, expense reimbursements, special requests, leave requests and payroll.
  • Assists in developing goals, objectives, policies, procedures and work standards for the department.
  • Demonstrates courteous and cooperative behavior when interacting with students, clients, visitors, and MPS staff; acts in a manner that promotes a professional and effective workplace environment.
  • Enthusiastically promotes the Superintendent's goals and priorities in compliance with all policies and procedures.
  • Maintains absolute confidentiality of work-related issues, records, and MPS information.

Requirements

  • Associate's Degree in finance, accounting, or a closely related field; AND four (4) years of administrative support experience; OR an equivalent combination of education, training, and experience as determined by Human Resources.
  • Knowledge of principles of organizational planning, research, design, and analysis.
  • Knowledge of MPS administrative policies, including accounting, budgeting, and personnel rules.
  • Knowledge of principles and practices of program and project management.
  • Knowledge of basic budgetary practices and terminology.
  • Knowledge of principles and practices of administrative management, including personnel rules, labor law, cost accounting, budgeting, grant programs, and contract management.
  • Knowledge of professional standards for business correspondence, writing, spelling and grammar.
  • Knowledge of business and personal computers, and spreadsheet software applications.
  • Knowledge of principles of record keeping, records retention, records management, and file maintenance.
  • Skill in planning, prioritizing and completing assignments with minimal supervision.
  • Skill in researching, collecting, analyzing, and preparing data, and generating reports.
  • Skill in responding professionally, effectively and efficiently to customer service requests.
  • Skill in establishing and maintaining effective working relationships with co-workers and clients.
  • Skill in operating a personal computer utilizing specialized software, and entering information into a computer system with speed and accuracy.
  • Skill in using initiative and independent judgment within general policy guidelines.
  • Skill in communicating effectively verbally and in writing.
  • Skill in contributing effectively to the accomplishment of team or work unit goals, objectives and activities.
