About the position

As a Project Coordinator within the System Construction & Space department at Keck Medicine of USC, you will play a vital role in assisting the department team with the implementation and tracking of various short-term and long-term projects. This position is integral to ensuring that all project goals and objectives are met within the prescribed cost, quality, and contract parameters. You will be responsible for planning, organizing, controlling, and reporting on project activities, which will require a keen attention to detail and strong organizational skills. In this role, you will work on multiple projects of moderate size or portions of major projects, providing essential administrative support to project managers. Your responsibilities will include technical and contract management support during the design, construction, fit-up, and closeout phases of projects. You will oversee the architect's contract administration services, ensuring compliance with project specifications and established guidelines. Regular job walks with construction contractors will be part of your duties to validate project completion percentages and facilitate progress payments. You will also assist project managers in coordinating between architects and general contractors, reconciling design phase estimates, and managing the design process to ensure that plans meet functional program requirements while adhering to budgetary, environmental, and legal standards. Your role will involve preparing requests for proposals, analyzing bids, and coordinating with vendors and the Contracts Department for bid awards and contracts. Additionally, you will conduct research, analyze data, and help maintain the Estimate at Completion Cost (EAC) throughout all project phases. Reviewing and negotiating change order requests will be a critical part of your responsibilities, requiring strong negotiation skills. You will prioritize your workload to meet deadlines, communicate effectively with the department team, and provide training to other staff members as needed. Throughout the project duration, you will provide regular updates to department leadership, ensuring that all deadlines are met and any issues are promptly addressed.

Responsibilities

  • Provide administrative support to project managers to ensure project goals and objectives are accomplished.
  • Plan, organize, control, and report on project activities to meet prescribed cost, quality, and contract parameters.
  • Work on multiple projects of moderate size or portions of major projects.
  • Provide technical and contract management support during design, construction, fit-up, and closeout phases of projects.
  • Oversee architect's contract administration services to ensure compliance with project specifications and guidelines.
  • Conduct regular job walks with construction contractors to validate percent completion for progress payments.
  • Analyze monthly schedule submissions and review change order requests.
  • Prepare requests for proposals and analyze bids for design and construction services.
  • Coordinate with vendors and Contracts Department for bid awards and contracts.
  • Conduct research and analyze data to maintain the Estimate at Completion Cost (EAC) of projects.
  • Effectively communicate with the Department Team to relay information and ensure deadlines are met.
  • Provide training to other staff members as requested.
  • Prepare data for department leadership prior to meetings and follow up as necessary.

Requirements

  • High school diploma or equivalent required.
  • Bachelor's degree in Engineering, Architecture, Construction Management, or a related field.
  • 1 - 3 years of project-related experience.
  • Proficient in supporting multiple project managers in a fast-paced environment.
  • Excellent skills in personal computer software programs including Procore, MS Word, PowerPoint, Excel, Bluebeam, and Visio.
  • Detail-oriented with strong organizational and time management skills.
  • Effective written and verbal communication skills.
