About the position

Mesa Energy Systems, a subsidiary of EMCOR Group, Inc., is seeking a Project Coordinator to join our team in Irvine, CA. As a leading provider of mechanical and electrical construction and facilities services, we pride ourselves on delivering fully integrated solutions for HVAC mechanical services. The Project Coordinator will play a crucial role in supporting our project management team by ensuring that all retrofit and automation jobs are set up efficiently and effectively. This position is temp-to-hire, offering a competitive hourly wage between $37 and $48, depending on experience. In this role, the Project Coordinator will be responsible for scheduling and coordinating with the Project Manager and Superintendent to keep shifts updated. The successful candidate will develop and maintain all project folders in SharePoint, ensuring that all documentation is organized and accessible. Attendance at job, project review, and manpower scheduling meetings is essential, as the Project Coordinator will be responsible for taking meeting minutes and documenting tasks assigned by management in Planner. The Project Coordinator will also coordinate the purchase of necessary supplies, equipment, and services from appropriate sources, maintaining a strong safety program throughout all operations. This includes issuing and entering all purchase orders (POs) and subcontracts required for retrofit projects, as well as liaising with the Accounts Payable (A/P) department regarding invoices, vendor holds, PO cost discrepancies, and subcontracts. Monthly reviews and approvals of vendor and subcontractor invoices will be part of the responsibilities, along with entering all retrofit weekly timecards and managing payroll issues with the payroll department. Additionally, the Project Coordinator will process all required permits, prepare and submit certificates of insurance, and create Submittal Manuals as required. The role may also involve preparing Payment & Performance Bonds if required by the customer, as well as any close-out documents and Operation & Maintenance Manuals. The Project Coordinator will assist the Project Manager with billings for jobs in process and any required Pay Applications by the customer, as well as WIP Reports for end-of-month reviews. Overall, this position supports all Project Managers with their daily requirements, ensuring smooth project execution and adherence to timelines.

Responsibilities

  • Set up all retrofit and automation jobs.
  • Work with Project Manager and Superintendent to keep shifts updated.
  • Develop and maintain all project folders in SharePoint.
  • Attend job, project review, and manpower scheduling meetings; responsible for meeting minutes and documenting tasks assigned by management in Planner.
  • Coordinate purchase of necessary supplies, equipment, and services from appropriate sources.
  • Maintain and follow a strong safety program.
  • Issue and enter all POs and subcontracts required for retrofit projects.
  • Liaise with A/P department regarding invoices, vendor holds, PO cost discrepancies, and subcontracts.
  • Review and approve vendor and subcontractor invoices monthly.
  • Enter all retrofit weekly timecards and manage payroll issues with the payroll department.
  • Liaise with payroll department for all certified payroll issues.
  • Process all required permits and pull in person from cities as needed.
  • Prepare and submit certificates of insurance.
  • Prepare Submittal Manuals as required.
  • Prepare Payment & Performance Bonds if required by customer.
  • Prepare any close-out documents requested and Operation & Maintenance Manuals if required by customer.
  • Initiate Warranty Letters when required.
  • Assist the Project Manager with billings for jobs in process and any required Pay Applications by the customer.
  • Assist the Project Manager with WIP Reports for the end of the month review.
  • Support all Project Managers with daily requirements.

Requirements

  • Bachelor's degree in business administration or equivalent work experience.
  • A minimum of three (3) years' experience in back-office support in the Construction field.
  • Strong background with Construction forms and permits necessary.
  • Strong administrative skills.
  • Computer literate in Microsoft Products.
  • Excellent verbal and written communication skills.
  • Ability to coordinate and work well with others.
  • Ability to work independently or as a member of a team.
  • Ability to adapt to ever-changing priorities.
