About the position

The Project Coordinator role is a critical position within our organization, located in San Jose, CA. This is a 12-month contract position that requires the individual to work in a hybrid capacity, being onsite three days a week. The Project Coordinator will be responsible for overseeing various projects, ensuring that they are completed on time and within budget. This role demands a strong project management mindset, as the individual will be handling a large workload that includes multiple projects simultaneously. The successful candidate will be adept at managing communications with both internal teams and external contractors, ensuring that all parties are aligned and informed throughout the project lifecycle. In this position, the Project Coordinator will utilize their expertise in project management and data analytics to create, organize, and maintain high-level visibility Excel spreadsheets and reports. The role requires proficiency in Excel, including the ability to use complex formulas and macros to meet changing project criteria. The Project Coordinator will also be expected to identify opportunities for improving team efficiency and effectiveness, particularly through automation and the use of distributed tools and systems. The ideal candidate will possess exceptional organizational and communication skills, enabling them to lead discussions with both internal leadership and external partners. They will be responsible for negotiating, following up, and executing decisions that contribute to the growth and success of the team. This position is essential for ensuring that projects are managed effectively and that all stakeholders are kept informed and engaged throughout the process.

Responsibilities

  • Oversee and manage multiple projects simultaneously, ensuring timely completion and adherence to budget constraints.
  • Create, organize, and maintain high-level visibility Excel spreadsheets and reports.
  • Facilitate daily discussions with external contractors and internal leadership to ensure alignment and progress on projects.
  • Identify opportunities to improve team efficiency and effectiveness through automation and optimized processes.
  • Manage communications from respective parties, ensuring all stakeholders are informed and engaged throughout the project lifecycle.
  • Lead and coordinate efforts across regionally or globally distributed tools and systems.

Requirements

  • Bachelor's degree in Computer Science, Engineering, Business Administration, or related technical fields.
  • 5 years of experience in Project Management, Business Administration, or Data Analytics.
  • Experience with operating systems within internal organizations using software and online tools.

Nice-to-haves

  • Experience creating and maintaining high-level visibility Excel spreadsheets with advanced formulas and formatting.
  • Fluency in Excel macros.
  • Experience managing a professional team, project, or business function with high output and visibility.
  • Ability to prioritize and manage across multiple, often time-sensitive initiatives.
  • Exceptional customer service skills.
