About the position

Do you want to join a growing team and work on local projects that make a difference? DEA is currently recruiting for a Project Coordinator to support our Puget Sound Surveying and Geomatics Group. The Administrative Assistant can be located in our Tacoma or Everett, WA offices. This position is responsible for a variety of administrative and project support duties including general office tasks in a fast-paced professional engineering firm. Main duties generally include general administration support such as scheduling meetings, project set-ups and filing, expense reports, scanning documents, taking meeting notes, making travel arrangements, and designing and maintaining staffing schedules. Additionally, the role involves project administration and controls, which includes contract coordination, subconsultant agreements, project invoicing, project financial reports, quality control audits, and monthly progress reports. The Project Coordinator will also assist in project deliverables by formatting and consolidating technical reports and spreadsheets. Specific responsibilities include providing administrative support for Survey and Geomatics Staff and Project Managers, preparing and reviewing project invoices, overseeing the maintenance of project files, providing Quality Management support for project deliverables, coordinating the production and distribution of deliverables to the client, scheduling project and internal staff meetings, preparing meeting agendas and minutes, managing group staffing schedules, assisting in internal Client Experience Survey outreach, coordinating group events and conferences, and assisting in project contract coordination, setup, and closeout.

Responsibilities

  • Provide administrative support for Survey and Geomatics Staff and Project Managers
  • Prepare and review project invoices and prepare progress reports
  • Review project subconsultant invoices
  • Set up new project folders and oversee the maintenance of project files
  • Provide Quality Management support for project deliverables
  • Coordinate the production and distribution of deliverables to the client
  • Coordinate and schedule project and internal staff meetings
  • Prepare meeting agendas and minutes and capture meeting notes
  • Manage/maintain group staffing schedules
  • Assist in internal Client Experience Survey outreach and spreadsheet tracking
  • Coordinate group events and conferences across the region
  • Assist in project contract coordination, setup and closeout

Requirements

  • Two years experience in office administrative and project related duties
  • Proficiency in Outlook, Word, Excel and Adobe
  • Experience coordinating and scheduling meetings for internal and external individuals
  • Excellent written and verbal communication skills
  • Experience multi-tasking and prioritizing competing requests
  • Customer service or quality control experience
  • Strong interpersonal skills

Nice-to-haves

  • Advanced skills in Outlook, Word, Excel and Adobe
  • Additional software skills in Access, PowerPoint, MS Project, Windows Explorer, or similar programs
