About the position

The Project Coordinator at the University of Arkansas for Medical Sciences (UAMS) plays a crucial role in supporting the department administrator, faculty, and the administrative services manager to achieve project goals effectively. This position is designed for a highly organized and reliable individual who can work independently while maintaining a strong work ethic. The Project Coordinator will be responsible for providing comprehensive administrative and office support, ensuring that all tasks are completed in a timely and professional manner. The role requires a deep understanding of general business practices, proficiency in Microsoft Office, and exceptional oral and written communication skills. In this position, the Project Coordinator will assist with various administrative tasks, including the preparation of Promotion and Tenure (P&T) packets, letters of recommendation, and reappointment paperwork. They will also act as a backup for content management on the department's website and respond to invitations for speaking engagements and job shadowing requests. The Project Coordinator will oversee travel arrangements for faculty, process reimbursements, purchase orders, and manage departmental purchasing needs. Additionally, the Project Coordinator will participate in team planning meetings, support projects and special events from initial planning to implementation, and provide logistical support for events. This includes identifying and arranging event locations and vendors, overseeing the production and distribution of project materials, and tracking project milestones and timelines. The role also involves providing staff support to committees, including preparing agendas, scheduling meetings, and documenting minutes. Overall, the Project Coordinator is essential in ensuring that the department operates smoothly and efficiently, contributing to the overall mission of UAMS to improve patient care and the lives of Arkansans.

Responsibilities

  • Provides administrative support for faculty and the department administrator.
  • Assists with preparation of P&T packets, letters of recommendation, and completion of reappointment paperwork as needed.
  • Acts as backup content management for the department website.
  • Responds to speaking engagement invitations and job shadowing requests, preparing necessary letters and documents.
  • Oversees travel arrangements for faculty within state guidelines.
  • Processes reimbursements, purchase orders, and travel expenses for faculty and staff.
  • Monitors purchasing and print jobs, processes lab/research orders.
  • Supports departmental purchasing needs and provides backup support for Neurology and Spine Institute purchasing and travel.
  • Participates in team planning meetings and supports projects and special events from preliminary planning to implementation.
  • Provides logistical support for events, including identifying and arranging event locations and vendors.
  • Keeps track of project milestones and timelines, providing oversight of purchasing, print, production, collating, mailing, and packaging of project materials.
  • Provides staff support to committees, including agenda preparation, scheduling, meeting minutes, and follow-up on next steps.

Requirements

  • Bachelor's degree PLUS three (3) years of administrative, project management, or project coordination experience OR a high school diploma/GED PLUS seven (7) years of administrative, project management, or project coordination experience.
  • Excellent computer skills, particularly in Microsoft Office.
  • Ability to prepare reports and manage project documentation.

Nice-to-haves

  • Workday and UAMS travel and purchasing experience is preferred.
