About the position

The Project Coordinator at IZONE IMAGING plays a crucial role in ensuring the smooth operation of customer orders and project management under the guidance of the Sales Manager. This position requires close collaboration with the Regional Sales team and the Production Team to address all customer needs and manage orders effectively. The Project Coordinator is responsible for overseeing all aspects of orders, including project prototypes, color matching labs, and the ordering and approval of associated hardware. They will also conduct quality control reviews of all related order paperwork, ensuring that everything meets the required standards before proceeding. In addition to managing the order process, the Project Coordinator will proactively communicate with customers regarding order status and any issues that may arise. This includes maintaining project schedules and conducting thorough quality control reviews of all orders assigned to them. The Coordinator will handle incoming phone calls, emails, and other correspondence from customers seeking updates or technical assistance related to their orders. They will also be responsible for all customer and vendor communications, reviewing specific project-related information such as drawings and written specifications necessary for order production. The role requires the Project Coordinator to provide support to Graphic Technicians by directing necessary revisions or modifications to artwork, confirming order specifications with production when needed, and requesting Change Orders from Account Managers for existing orders. Additionally, the Coordinator will maintain production job bags for all orders, ensuring that all relevant paperwork and instructions are included. They must keep order status communications and related information updated in the internal operational software system, ensuring a seamless workflow from order initiation to completion.

Responsibilities

  • Manage all aspects of customer orders and project prototypes.
  • Conduct quality control reviews of order paperwork.
  • Proactively communicate with customers regarding order status and issues.
  • Respond to incoming phone calls and emails from customers.
  • Review project-related information including drawings and specifications.
  • Provide support to Graphic Technicians for artwork revisions.
  • Confirm order specifications with production as necessary.
  • Request Change Orders from Account Managers for existing orders.
  • Maintain production job bags with appropriate paperwork and instructions.
  • Update order status communications in the internal operational software system.

Requirements

  • High school diploma or equivalent required.
  • Associate degree in a graphics or marketing related field preferred.
  • Minimum of 2 years of experience in project management or a similar role required.
  • Proficiency in Microsoft Office programs, especially Excel.
  • Experience with Adobe Creative Suite is preferred.
  • Excellent written and verbal communication skills are required.
  • Ability to read and understand architectural plans and designs.
  • Highly organized and detail-oriented with the ability to handle multiple tasks in a fast-paced environment.

Nice-to-haves

  • Experience in a branding, signage, design, manufacturing, or construction environment is desirable.
  • Proficiency with Macintosh operating systems.
