About the position

The Project Coordinator at Gatlin Plumbing & Heating, Inc. is responsible for supporting various divisions including Plumbing, Sheet Metal, Pipe Fitting, HVAC, and Mechanical. This role focuses on ensuring smooth project execution from inception to completion by assisting with project documentation, coordination, and communication, thereby providing critical support to the project management team.

Responsibilities

  • Prepare and submit project submittals and closeout documents to general contractors or architects, ensuring all documentation is accurate and timely.
  • Assist in managing Operations & Maintenance manuals, warranty documentation, and other essential project paperwork.
  • Draft and process sub-contracts, including gathering Certificates of Insurance (COIs) and signed agreements from subcontractors, and help establish purchase orders based on project requirements.
  • Collaborate with the accounting team to provide necessary documentation for billing, material storage, and cost tracking, ensuring clear communication and adherence to project timelines.
  • Manage project-specific requirements such as access badges for secure facilities or processing other relevant documentation.
  • Assist in preparing and tracking change orders, Field Request Information (FRIs), and contract value adjustments, ensuring timely submission to relevant parties.
  • Monitor and track project budgets, contract value changes, and expected project completion costs, and communicate updates to the accounting team.

Requirements

  • Prior experience in project coordination, preferably in the construction, mechanical, or plumbing industries.
  • Basic accounting knowledge, with the ability to understand and navigate financial documentation and project costing.
  • Willingness to learn and adapt to the unique language and processes of multiple trades, including Plumbing, HVAC, Sheet Metal, and Mechanical.
  • Strong organizational skills with the ability to manage multiple projects and tasks concurrently.
  • Excellent communication skills, both verbal and written, with attention to detail.
  • Proficiency in Microsoft Office (Word, Excel, and Outlook); familiarity with construction project management software is a plus.
  • A proactive approach to problem-solving and the ability to work both independently and as part of a team.
