About the position

The Project Coordinator at Arrive, LLC plays a crucial role in providing homeowner care and warranty management services for new construction high-rise condominiums and high-end townhomes. This position requires strong detail orientation and the ability to manage multiple tasks simultaneously while collaborating with Project Managers and Homeowner Care Specialists to achieve strategic goals for clients and homeowners.

Responsibilities

  • Assist in managing email inboxes and communicating effectively in written form.
  • Schedule appointments with trade partners, homeowners, and Homeowner Care Specialists, including detailed calendar management.
  • Assist with communication to new buyers and conduct Welcome Home Tours, providing information about home features and finishes.
  • Meet with homeowners to assess questions and concerns, providing high-level customer service.
  • Prepare vendors for interactions in homes and manage their work inside the home.
  • Open and manage work orders in warranty management software, updating and auditing them monthly.
  • Conduct vacant unit inspections and review findings with Project Managers.
  • Contribute to agendas for weekly client meetings and assist with documentation management.
  • Assist Project Managers and company executives as needed.

Requirements

  • Bachelor's degree required.
  • Extensive computer experience and skills, particularly in Microsoft Excel and Office Suite.
  • Exceptional written and verbal communication skills.
  • Strong customer service skills, especially for high-end clientele.
  • Ability to manage complex schedules and prioritize tasks effectively.
  • Experience with data entry and manipulation.
  • Critical thinking and independent problem-solving skills.
  • Ability to work collaboratively in a team environment.
  • High emotional intelligence and understanding of customer frustrations.
