The Project Coordinator will serve as a key liaison between Sales, Design, Manufacturing, and vendors to ensure clear project communication, deadlines are met, and customer expectations are fulfilled. This position will be responsible for the generation of quotes for intercompany orders, coordinating design creation, vendor quotes, and manufacturing quotes, scheduling, and facilitating design review to fulfill customer orders. The Project Coordinator will also ensure processes and checklists are followed and critical KPIs are maintained, such as customer communication, on-time task completion, on-time project release, and project accuracy. In this role, you will coordinate project schedules and information, liaise with salespersons to identify and define project requirements, scope, and objectives, and ensure that clients' needs are met upon project completion. You will monitor project progress, handle any issues that arise, and act as the point of contact to communicate project status to all participants. Additionally, you will create and maintain comprehensive project documentation, organize meetings, record minutes, and keep all team members updated with current information and paperwork. Your responsibilities will also include preparing invoices, managing project financials, and ensuring compliance with the organization's requirements.

Responsibilities

  • Coordinating project schedules and information

  • Using tools (Excel) to monitor working hours and plans
  • Creating and maintaining comprehensive project documentation
  • Conducting quality checks to ensure standards and requirements are met
  • Organizing meetings and recording minutes
  • Keeping detailed project notes and records
  • Tracking and managing incoming paperwork
  • Communicating with team members to ensure optimal strategy and maximum efficiency
  • Ensuring that projects are run in compliance with the organization's requirements
  • Providing guidance to project team
  • Tracking & reporting overall progress
  • Obtaining estimates and submitting samples and drawings to the client for approval
  • Preparing invoices & progress billings, creating schedule of values, preparing releases and following up on outstanding payments
  • Preparing change orders for revised scope of work
  • Maintaining project financials
  • Other duties as assigned.

Requirements

  • Minimum of 1-3 years of project coordinator experience
  • Demonstrated understanding of project management concepts
  • Strong knowledge of written and digital project management tools
  • Strong verbal and written communication skills
  • Ability to maintain high energy levels and composure during tight deadlines and stressful situations
  • Ability to work with peers, management, and clients in a professional and pleasant manner
  • Ability to take on various projects simultaneously
  • Ability to multitask, delegate, listen, make decisions, and communicate
  • Realizing the importance of safety in the construction industry
  • Experience with Unions, OSHA, Structural Steel, and CAD is a big plus

Nice-to-haves
