About the position

The Project Coordinator at Power System Engineering Inc. is responsible for providing project coordination and administrative assistance to the Utility System Planning & Services Studies Department, including support for the Vice President, Practice Area Managers, and Project Managers. This role emphasizes strong organizational skills, attention to detail, and the ability to work independently while fostering collaboration within the team.

Responsibilities

  • Arrange appointments and prepare meeting minutes, memos, letters, reports, proposals, charts, contracts, etc.
  • Assist with the preparation and submission of technical proposals in response to Request for Proposals (RFPs).
  • Assist with technical reports, including proofreading, editing, formatting, printing, assembly, and submission to the client.
  • Assist with the preparation of construction bid packages and contracts.
  • Assist with project cost and progress tracking to meet budgets and deadlines.
  • Work with the Operations Department and project managers to prepare all monthly invoicing.
  • Coordinate and prepare information for project or internal department meetings, participate in meetings, and record meeting minutes.
  • Work on various internal administrative tasks, such as approving expense reimbursements, assisting with travel arrangements, and coordinating intranet updates.
  • Coordinate meetings, including external coordination with venues and internal coordination with attendees.
  • Collaborate with other PSE team members to improve efficiencies and work product and with other project coordinators to create tools and processes to improve work product, workload, and resource planning.
  • Assist in marketing and business development efforts.
  • Assist with planning study report preparation, including Word documents, spreadsheets, tables, graphs, etc.

Requirements

  • Bachelor's degree preferred; Associate's degree in technical writing, editing, administrative assistance, or a related field will be considered.
  • 2+ years relevant experience, preferably with a professional services firm.
  • Highly organized, detail-oriented, and able to work independently.
  • Advanced knowledge of the Microsoft Office Suite (Word, Excel, and PowerPoint).
  • Excellent communication skills.
  • Strong teamwork and people skills.
  • Ability to multi-task, prioritize workload, problem-solve and meet deadlines.
  • Entrepreneurial and willing to dive into technical aspects of renewable energy projects.
  • Proficiency with Microsoft Project a plus.
