About the position

The Project Coordinator at E-Z Bel Construction plays a crucial role in supporting the Project Management and Superintendent/Field teams in the day-to-day operations of managing construction projects. This position is designed for individuals who are eager to contribute to the success of various projects while working under the guidance of experienced professionals. The Project Coordinator will engage in a variety of project management activities, which include drafting essential pre-construction documents such as subcontracts, submittals, and schedules for review by the Project Manager. They will also be responsible for setting up and maintaining project job files, capturing and organizing production quantities, and coordinating finalized pay estimates with the Project Manager, Project Accountant, and accounting team to ensure all approved documents from project owners are accounted for. In addition to these tasks, the Project Coordinator will assist with change management by creating and tracking change requests, soliciting quotes from subcontractors and suppliers, and tracking subcontractor invoices and payments. They will also play a key role in executing and submitting monthly project schedule updates, preparing project meeting documents, and providing overall support to operations personnel, including Project Managers and Superintendents. The role requires managing daily orders for materials such as concrete, base, and asphalt, ensuring that crews have the necessary supplies to maintain productivity without needing constant direction from the Superintendent or Foreman. The Project Coordinator will serve as the primary contact with outside vendors regarding material orders, ensuring timely delivery of the correct products and quantities to project sites. They will also be responsible for acquiring and maintaining excavation and right-of-way permits prior to the start of jobs, coordinating electric service to projects, and ensuring compliance with Dig-Tess locate tickets. This position requires a proactive approach to problem-solving and effective communication with various stakeholders, including owners and design consultants. The Project Coordinator will also assist with retainage collection and documentation acquisition, ensuring a smooth turnover at the end of projects.

Responsibilities

  • Draft pre-construction documents, including subcontracts, submittals, material sourcing sheets, key personnel letters, plans, addenda, specifications, and schedules for Project Manager review.
  • Set up and maintain project job files.
  • Assist with capturing and organizing production quantities both internal and subcontracted, and coordinate finalized pay estimates with PM/PA/accounting.
  • Assist with change management through creation and tracking of change requests.
  • Solicit subcontractor and supplier quotes as necessary.
  • Track subcontractor invoices and payments.
  • Assist with the execution and submission of monthly project schedule updates.
  • Correspond with owners and design consultants as needed.
  • Prepare project meeting documents.
  • Aid with special projects for Project Managers.
  • Provide overall support to operations personnel, including Project Managers and Superintendents.
  • Manage daily orders from the field for concrete, base, asphalt, and all other materials with Project Managers/Superintendents/Foremen.
  • Order material as needed to keep crews moving without direction from superintendent and foreman based on approved 2-week schedule.
  • Serve as primary contact with outside vendors regarding material orders, including scheduling and delivery.
  • Guarantee that all major orders are received per shop drawings and quantities.
  • Collect tickets, provide phase codes, and turn into PA for immediate processing.
  • Issue purchase orders with proper job cost codes/pay items to vendors when ordering materials needed for all job sites.
  • Acquire and maintain all necessary excavation/ROW permits prior to the start of the job.
  • Coordinate electric service to project, including obtaining addresses and submitting applications.
  • Ensure all delivery tickets have pay items coded before forwarding to accounting.
  • Request, track, and ensure compliance of all Dig-Tess locate tickets on assigned projects.
  • Update Redlines with foreman provided information on a weekly basis for monthly submissions to owners.
  • Compile all redlines for reconciliation at the end of the project for turnover.
  • Assist with retainage collection including documentation acquisition and on-site walkthroughs.

Requirements

  • College Degree preferred, High school diploma or equivalent certification required.
  • Two to five years' experience in the construction industry.
  • Valid Texas Driver's License required.
  • Bilingual preferred (Spanish).
  • Advanced knowledge of the Microsoft Office suite.
  • Demonstrates effective written and oral communication skills.
