About the position

The Project Coordinator at Signet, a Pavion Company, plays a crucial role in supporting the Project Management Office (PMO) by ensuring that all client project deadlines and milestones are met. This position involves a variety of functional, administrative, and organizational tasks, working closely with Project Managers to maintain schedules, coordinate project activities, and provide essential support to the project team.

Responsibilities

  • Perform functional, administrative, and organizational tasks working closely with the Project Managers.
  • Assist the PMO, ensuring that all client project deadlines and milestones are met, and all project lifecycles are organized and running according to plan.
  • Maintain schedule management for all installation field staff including daily/weekly assignment entries; manage schedule deficiencies and assignment conflicts maintaining accurate technician to apprentice ratios, as applicable.
  • Coordinate/complete specific project activities in support of the PMO including but not limited to: Permit applications, Project kick offs, project closeout tasks including preparing O&M manuals, assemble as built drawings, download, print and distribute test reports, manage punch lists, create warranty information and letters, create, and save training forms, etc.
  • Support PM's and the Sr. Director, Operations in the tracking and monitoring of PMO related checklists, processes, reports, and documentation.
  • Typing and printing cable, faceplate, and patch panel labels as necessary.
  • Support the PMO in new hire onboarding activities.
  • Document and track important actions and decisions from meetings, i.e., scope reviews, scope changes (change control), project impacts, procurement issues, etc.
  • Provide administrative support as needed; undertake a variety of project tasks as required.
  • Coordinate all lodging, rental, and travel needs for project team members as needed.

Requirements

  • High school diploma or equivalent.
  • 1-2 years in similar technologies industry.
  • 1-2 years of demonstrated success working within a team environment to achieve project goals.
  • 0-1 years of construction related familiarity/experience- construction related documents and related processes.
  • 0-2 years of customer service experience.
  • Experience working in a team environment, collaborating with multiple stakeholders (internal and external) required.
  • OSHA 10 required.
  • A valid driver's license and acceptable driving record.
  • Understands and can interpret the technical requirements of plans, schedules, specifications, and vendor technical documents (product data sheets).
  • Must have good technical and organizational skills with attention to detail.
  • Demonstrated ability to work independently and proactively.
  • Exceptional verbal, written, and communication skills.
  • Proficiency with Outlook, Teams, Word, Excel, Bluebeam, and other related software to perform all tasks included herein.
  • Ability to read and interpret project scopes, one lines, floor plans, submittals, specifications, test reports and other related project documentation.
