About the position

The Project Business Coordinator position at Global Technology Associates (GTA) involves overseeing the Facility Locate Program and managing vendor relationships to ensure efficient project execution. The coordinator will be responsible for ensuring accurate workload distribution among vendor partners and ensuring that projects are completed on time. This role requires the development of action and remediation plans with vendors to address any backlog or overdue work, ensuring timely completion of all projects. The coordinator will work closely with internal teams and vendors to validate and correct work request descriptions, ensuring that all stakeholders are informed and approve any changes requested by vendors. In addition to managing vendor relationships, the Project Business Coordinator will issue regular audit requests on completed vendor work to ensure compliance with company specifications and local codes. This includes collecting and reviewing audit forms and performance metrics for vendors at both market and national levels to create Vendor Score Card reports. The coordinator will provide these scorecard results to management for further analysis and planning, while also historically tracking all vendor performance data to identify improvement opportunities based on historical trends. The role also involves reviewing vendor invoice requests for accuracy, addressing any discrepancies with vendors and stakeholders, and ensuring that approved invoices are paid in a timely manner. The Project Business Coordinator will analyze performance analytics and feedback from vendors and Field Operations to identify potential contract improvements and other areas for opportunity. This position requires a comprehensive knowledge of telecommunication equipment, processes, and systems, as well as excellent written and verbal communication skills to maintain a professional image while working with various partners.

Responsibilities

  • Ensure accurate workload distribution and on-time process and completion by vendor partners.
  • Develop action and remediation plans with vendors to address backlogged or overdue work.
  • Work with internal parties and vendors to validate and correct work request descriptions.
  • Ensure stakeholders are aware of and approve changes requested by vendors.
  • Issue regular audit requests on completed vendor work to ensure compliance with specifications and codes.
  • Collect and review audit forms and performance reporting metrics for vendors to build Vendor Score Card reports.
  • Provide scorecard results to management for analysis and planning.
  • Historically track all vendor performance data at market, region, and national levels.
  • Identify improvement opportunities based on historical trending analysis.
  • Review vendor invoice requests for accuracy and address inaccuracies with vendors and stakeholders.
  • Ensure approved invoices are paid to vendors in a timely manner.
  • Review performance analytics and vendor feedback to identify potential contract improvements.

Requirements

  • 3-6 years of job-related experience or an equivalent combination of education and experience required.
  • Associate's degree in a related field (project management, telecommunications, electronics, etc.).
  • Comprehensive knowledge of telecommunication equipment, processes, and systems.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office or similar software for building and maintaining spreadsheets and presentations.
  • Ability to work independently with minimal supervision.
  • Experience in vendor management and project management.
