About the position

The Project Coordinator at Rutgers Biomedical and Health Sciences (RBHS) plays a crucial role in planning and directing systems analysis, design, and implementation of project plans that support the integration of RWJMS and NJMS. This position involves coordinating the development of data processing methods and procedures, working closely with faculty, students, and staff to facilitate integration across various topics, and preparing for the single accreditation process. The role requires extensive collaboration with leadership and subcommittees to ensure project objectives are met effectively.

Responsibilities

  • Consults with leadership in the Office of the Dean and Senior Associate Deans to formulate project objectives and system development requirements.
  • Prepares project plans and schedules with specific timelines for all major/subordinate events, including requirements, tasks, work assignments, and resources.
  • Serves as a direct report to the Chief of Staff (COS) and partners with COS to manage project progress and address issues.
  • Responsible for contract reporting requirements and participation in administrative meetings and conference calls.
  • Meets with staff to define priorities and provide guidance on technical and business aspects of the program.
  • Ensures all work and documentation meet departmental and project standards.
  • Provides Project Coordinating support for multiple events, offering periodic updates to senior leadership.
  • Acts as a role model for customer service, responding promptly and professionally to inquiries.

Requirements

  • Bachelor's degree in Public Health, Business Management/Administration, or a related field plus four years of relevant experience.
  • Demonstrated analytical and statistical skills along with report writing.
  • Excellent customer service skills and diplomacy.
  • Highly proficient with Microsoft Office programs and experience producing detailed timelines/Gantt charts.
  • Excellent writing, organization, and communication skills to interact with senior management.
  • Ability to work well with all levels within the organization, including school/university officials, faculty, staff, students, and community leaders.
  • High degree of initiative and self-motivation; ability to exercise discretion, confidentiality, and judgment in sensitive situations.
  • Ability to effectively present information and respond to inquiries.
  • Computer literate with high proficiency in database and reporting tools including Microsoft Project, Word, Excel, Access, and PowerPoint.
