The Project Assistant at PML Construction, Inc. plays a crucial role in supporting the Project Managers in various aspects of project management. The Project Assistant will be involved in a variety of tasks that include project setup, submittals, planning, equipment scheduling, and managing project documentation. In this position, the Project Assistant will assist in setting up jobs by creating job folders and ensuring that all necessary construction plans are reproduced accurately. They will maintain, monitor, and organize project records and documentation for incoming projects, ensuring that all information is up-to-date and accessible. The role also involves coordinating and tracking submittals, ordering and tracking equipment, entering stocking sheets, and coding invoices. Additionally, the Project Assistant will be responsible for job closeouts and warranties, demonstrating the ability to handle difficult situations tactfully and seeking guidance when necessary. The ideal candidate will have a strong attention to detail, sound judgment, and problem-solving skills to navigate complex projects effectively. This position requires a high level of motivation, integrity, and a commitment to both the team and customers, ensuring that all tasks are completed with a strong work ethic and a focus on quality.

Responsibilities

  • Assist in setting up jobs, creating job folders, and completing construction plan reproduction
  • Maintain, monitor and organize project records and documentation on incoming projects
  • Coordinate and track submittals
  • Order, track and coordinate equipment
  • Enter stocking sheets and code invoices
  • Manage job closeouts and warranties
  • Demonstrate the ability to tactfully handle difficult situations
  • Seek guidance and direction as necessary for performance of duties

Requirements

  • Education or formal training in business administration or similar is preferred; relevant work experience may be substituted
  • Experience in an administrative support position
  • Interest in construction or the trades is beneficial
  • Prior administrative experience in a construction, engineering, or architectural setting is a major benefit, though not required
  • Proficient in Microsoft Office 365, including Excel, Word, and Outlook
  • Computer proficiency required
  • Results-oriented with proven ability to organize, plan and prioritize work to meet deadlines
  • Excellent verbal and written communication skills; able to communicate effectively with management, employees, customers, and vendors
  • High level of motivation, integrity, and commitment to team and customers
  • Strong work ethic with an unwavering commitment to quality and professional work
  • High attention to detail required
