About the position

The Project Coordinator at DEA will play a crucial role in supporting the Transportation Business Unit by managing key aspects of transportation projects. This position involves collaboration with clients and stakeholders, financial management, contract oversight, and ensuring project deliverables are met. The role is designed for a proactive individual who can contribute to impactful projects that shape communities in the Inland Northwest market.

Responsibilities

  • Deliver outstanding customer service while working closely with internal and external clients to foster strong relationships.
  • Oversee cost forecasting, budget management, and financial reporting to ensure projects stay on track.
  • Manage contracts, scope changes, and change orders, ensuring compliance and timely delivery.
  • Prepare project invoices and progress reports, including processing subconsultant invoices.
  • Support budgeting, accounting documentation, and data analysis to monitor financial health and project progress.
  • Support for document deliverable preparation and quality reviews.
  • Seamlessly collaborate with internal teams, subconsultants, and clients, working on scope and fee development while tracking project status.
  • Organize project meetings, prepare agendas and summaries, and follow up on deliverables and action items.
  • Ensure contract and task orders are monitored, scope and budget adherence is maintained, and quality audits are performed as scheduled.
  • Assist with accounts receivable (AR), unbilled (UB), cost-to-complete reports, and earned value reports (EVR).

Requirements

  • Minimum 8 years of experience in a project coordination role.
  • Expertise in Outlook, Word, Excel, and financial tracking.
  • Experience in customer service and/or quality control.
  • Familiarity with contracts, invoicing, and general accounting practices.

Nice-to-haves

  • Positive attitude with a high level of accountability.
  • Grounding in architecture, engineering, or construction projects is a plus.
  • Proven experience managing scope, schedule, and budget for complex projects.
  • Expertise with SharePoint documentation and site administration.
