About the position

DEA is currently recruiting a full-time Project Coordinator to work onsite at a specific project office in Portland, OR. The role involves participating in the development and implementation of document control, submittal management, communication, and information distribution protocols. The Project Coordinator will be expected to demonstrate DEA's core ideology and commitments when interacting with clients. This position requires strong attention to detail, critical thinking, and problem-solving skills, as the coordinator will take tasks from inception to completion. Key duties include supporting document control and submittal management, coordinating and scheduling project meetings, preparing meeting agendas, and distributing meeting minutes. The Project Coordinator will assist project managers in developing PowerPoint presentations and preparing for meetings, as well as tracking action items and tasks for multiple Project Managers and Executives. Correspondence with clients, project partners, and team members is also a critical part of the role, along with formatting and performing quality reviews of documents such as reports, letters, memos, and minutes. The coordinator will assist in the production and distribution of deliverables to clients and team members, provide general administrative support at the project office, and assist the Office Manager and Project Controls Team as needed. Maintaining effective working relationships with clients and internal teams is essential for ensuring a steady flow of work, communication, project schedules, and milestones.

Responsibilities

  • Participate in the development and implementation of document control and submittal management protocols.
  • Support the coordination and scheduling of project meetings, preparing meeting agendas, and distributing meeting minutes.
  • Assist project managers with the development of PowerPoint presentations and meeting preparations.
  • Track action items and tasks for multiple Project Managers/Executives.
  • Correspond with clients, project partners, and project team members.
  • Format and perform quality reviews of documents such as reports, letters, memos, and minutes.
  • Assist in the production and distribution of deliverables to clients and team members.
  • Provide general administrative support at the project office as needed.
  • Assist the Office Manager and Project Controls Team as needed.
  • Track, update, and distribute key project decisions and supporting documentation.
  • Maintain effective working relationships with clients and internal teams.

Requirements

  • Minimum 3-5 years of experience in office administration and project coordination.
  • Ability to work in-person at the inner SE Portland Project Office a minimum of up to 1 day per week.
  • Experience with multi-tasking and prioritizing competing requests.
  • Proficiency in Outlook, Word, Excel, and PowerPoint.
  • Excellent written and verbal communication skills including proof-reading and editing.
  • Experience attending project meetings and preparing meeting summaries as required.
  • Ability to work in a fast-paced, dynamic, high-demand office setting.
  • Strong interpersonal skills.

Nice-to-haves

  • Project related experience in an architecture, engineering, or construction firm.
  • Additional software skills in ProjectWise, MS Teams, SharePoint, Microsoft Access, Adobe, and Google (Docs, Sheets, Meets, Drive, and Chat).
