About the position

The Project Coordinator at KDC Construction plays a vital role in supporting project management by coordinating activities and processes associated with construction projects. This position is responsible for overseeing day-to-day tasks, assisting with administrative duties, and ensuring effective communication among project teams, clients, and subcontractors. The role emphasizes building a culture of growth and collaboration within the company.

Responsibilities

  • Approve invoices and verify payment of job expenses.
  • Assist with billings for customer invoicing and subcontractor payment.
  • Support construction projects from inception to closeout in collaboration with the Project Team.
  • Coordinate the acquisition of required permits and deposits.
  • Attend client meetings and prepare meeting minutes.
  • Communicate with subcontractors and vendors regarding subcontracts, proposals, RFIs, change orders, billings, submittals, and materials procurement.
  • Coordinate travel arrangements including airline tickets, hotel reservations, and vehicle rentals.
  • Duplicate and distribute construction plans as needed.
  • Compile project information to create and issue weekly client project reports.
  • Establish and maintain positive long-term relationships with clients and subcontractors.
  • Input project information into Timberline and update as necessary.
  • Issue Purchase Orders to the project team.
  • Maintain accurate project information in timecards daily.
  • Maintain project logs including RFIs, submittals, rentals, labor, and change orders.
  • Maintain and update project documents and drawings, tracking plan revisions.
  • Order materials and project-related items as requested by the Project Manager/Superintendent.
  • Request and assemble project close-out documents from subcontractors.
  • Process and distribute project documents, including plan revisions and correspondence.
  • Archive project documents upon project completion.

Requirements

  • High school diploma or GED.
  • 1-3 years of relevant experience or equivalent.
  • Strong verbal and written communication skills.
  • Ability to become a Notary Public.
  • Strong data entry skills with accuracy.
  • Organizational skills and time management skills to meet deadlines.
  • Ability to foster relationships with customers, owners, subcontractors, and vendors.
  • Proficient with computers and familiar with Microsoft Software Suite.
  • Self-starter with the ability to work in a fast-paced, team-oriented environment.
  • Strong attention to detail and ability to multi-task.

Nice-to-haves

  • Experience in the construction industry.
  • Familiarity with Timberline software.
