About the position

We are seeking a highly organized and detail-oriented Project Coordinator to join our team at The Epoxy Guy. This part-time position is ideal for someone who is passionate about project management and has a strong background in customer service. The Project Coordinator will play a crucial role in coordinating leads, site visits, and projects from start to finish. This includes ensuring timely communication with clients and maintaining an organized schedule. The ideal candidate will be fluent in both English and Spanish, allowing for effective communication with a diverse clientele. In this role, the Project Coordinator will manage the inbox, responding to any pending questions from current or prospective clients. They will also manage a task list for the owner's activities, ensuring that tasks are prioritized and completed efficiently. The Project Coordinator will handle incoming leads from various platforms such as Yelp, Thumbtack, and Google Ads, reaching out via phone calls to follow up with potential clients. Additionally, they will manage the team calendar for site visits, prospective client appointments, and work schedules, updating the calendar with confirmed appointments as necessary. The Project Coordinator will follow up with any pending clients, particularly those who have received quotes but have not yet confirmed a start date. They will also be responsible for managing invoices and payment collections, as well as handling contracts and sharing necessary insurance documents with clients. Providing project status updates to clients, management, and other stakeholders will be a key part of this role, along with performing other related duties as required.

Responsibilities

  • Manage inbox and respond to pending questions from current or prospective clients.

Requirements

  • 2+ years of experience in an administrative role.
  • Proven experience with project coordination.
  • Excellent communication, organizational, and problem-solving skills.
  • Ability to work effectively in a fast-paced environment with multiple priorities.
  • Strong oral and written communication skills in both English and Spanish.
