About the position

The Project Coordinator at Rutgers University will play a crucial role in supporting the integration of the Robert Wood Johnson Medical School (RWJMS) and New Jersey Medical School (NJMS). This position involves planning, directing, and implementing project plans, coordinating with various stakeholders, and ensuring that all project documentation meets departmental standards. The Project Coordinator will work closely with leadership to define project objectives, prepare schedules, and provide updates on project progress, while also acting as a liaison between different committees and departments.

Responsibilities

  • Consult with leadership in the Office of the Dean and Senior Associate Deans to administer and formulate project objectives and system development requirements.
  • Prepare project plans and schedules with specific timelines for all major/subordinate events, including requirements, tasks, work assignments, resources, and project milestones.
  • Serve as a direct report to the Chief of Staff (COS) in the Office of the Dean, providing management on project progress and issues.
  • Responsible for contract reporting requirements for the program, including participation in administrative meetings and conference calls.
  • Meet with staff to define priorities and provide guidance on technical and business aspects of the program.
  • Ensure all work and documentation meet departmental and project standards.
  • Provide Project Coordinating support for multiple events, offering periodic updates to senior leadership and ensuring projects remain on track.
  • Act as a role model for customer service, responding promptly and professionally to inquiries.

Requirements

  • Bachelor's degree in Public Health, Business Management/Administration, or a related field plus four years of relevant experience.
  • Demonstrated analytical and statistical skills along with report writing.
  • Excellent customer service skills and diplomacy.
  • Highly proficient with Microsoft Office programs and experience producing detailed timelines/Gantt charts.
  • Excellent writing, organization, and communication skills to interact with senior management.
  • Ability to work well with all levels within the organization, including school/university officials, faculty, staff, students, and community leaders.
  • High degree of initiative and self-motivation; ability to exercise discretion, confidentiality, and judgment in sensitive situations.
  • Ability to effectively present information and respond to inquiries.
  • Computer literate with high proficiency in database and reporting tools including Microsoft Project, Word, Excel, Access, and PowerPoint.
