About the position

The Project Coordinator at InfraSource plays a crucial role in ensuring the quality and efficiency of work orders submitted by project managers. This position involves tracking work order statuses, analyzing reports for construction readiness, and coordinating various administrative tasks related to construction projects. The role requires collaboration with project managers and other departments to maintain scheduling and quality control, ensuring high standards of customer service throughout the project lifecycle.

Responsibilities

  • Review, analyze, and revise submitted work orders by ensuring proper task setup in the client's software system.
  • Coordinate daily, weekly work schedules by project phase and provide said schedules to IFS Representatives for Prior Notification Process.
  • Report daily work plans & locations as specified to IFS for utility commission reporting.
  • Participate in pre-construction planning and coordination meetings, obtaining necessary permits and documentation.
  • Prepare documentation for project close-out processes as requested.
  • Address and resolve customer complaints and issues promptly, upholding high standards of customer service.
  • Coordinate and manage Contractors utility locating and locate ticket process.
  • Ensure Right of Way restoration activities meet municipal requirements and restore private property to pre-construction conditions.
  • Coordinate Security Background Check requirements for contract crew members.
  • Manage timelines for submissions to ensure timely turnaround of work orders.
  • Perform and complete other administrative duties as assigned.

Requirements

  • Ability to demonstrate initiative and assertiveness, and manage work efficiently under stress and time pressure.
  • Highly motivated, well organized, resourceful, and proactive with a team-oriented style.
  • Proficient in Microsoft Office (Word, Excel, PowerPoint, Access, Visio) and Adobe Acrobat.
  • Demonstrated problem-solving experience with the ability to multi-task and apply a structured approach to complex situations.
  • Flexibility to adapt to shifting work priorities.
  • Well-developed written and verbal communication, interpersonal, influencing, and presentation skills.
  • Ability to effectively present information and respond to questions from managers, clients, and local permitting agencies.
  • Valid driver's license and safe driving record required.
  • Associate's degree and/or 2+ years of relevant experience in an office setting.
