About the position

The National Institute for Children's Health Quality (NICHQ) is seeking a dedicated and detail-oriented Project Coordinator to join our team in Boston, MA. This full-time position is ideal for individuals with a passion for improving children's health and a strong background in project management or administration. The Project Coordinator will play a crucial role in supporting various project activities and deliverables, ensuring that all tasks are executed efficiently and effectively. In this role, the Project Coordinator will be responsible for coordinating project activities, which includes managing heavy administrative details such as note-taking, calendar scheduling, and follow-ups. The individual will prepare agendas for meetings, facilitate discussions, document key decisions, and support follow-up actions. Additionally, the Project Coordinator will assist in the development and management of project plans, including schedules, deliverables, and project status reports, while tracking progress and ensuring that all deliverables are met on time. The position also involves managing logistics for in-person and virtual events, including preparation of materials, technical needs, and day-of coordination. The Project Coordinator will support the development of key project documents, such as project reports and presentations, and contribute to project planning and decision-making processes. Furthermore, the individual will serve as a liaison with project partners and maintain online communication and data platforms, ensuring that all stakeholders are informed and engaged throughout the project lifecycle. Responsibilities

  • Coordinating project activities including heavy administrative details: note taking, calendar scheduling, follow up, reminders, etc.
  • Preparing agendas for and facilitating meetings, documenting key decisions and supporting follow-up actions.
  • Assisting in the development and management of project plans, including schedules, deliverables, and project status reports.
  • Managing coordination of in-person and virtual events, including logistics, preparation of materials, technical needs, and day-of coordination.
  • Supporting the development of key project documents, including project reports, funder reports, and presentations.
  • Contributing to project planning and decision making.
  • Supporting the technical assistance process, including monitoring submissions, scheduling consultations, and data entry.
  • Serving as a liaison with project partners and other key individuals/groups as requested.
  • Managing and maintaining online communication and data platform (Coral).
  • Providing thorough and timely customer service and maintaining the project general email inbox.

Requirements

  • Bachelor's degree and/or relevant experience in Public Health or related field.
  • 1-2 years of previous work experience in administration or project management preferred.
  • Strong communication skills, both oral and written.
  • Ability to communicate sensitive information with a variety of stakeholders in a tactful manner.
  • Ability to multi-task and prioritize, work both with oversight and autonomously, recommend timelines and meet deadlines.
  • Highly organized and skilled at managing numerous details for more than one project.
  • Works well in a team environment.
  • High level of comfort and strong learning capability to use office systems, computers, and MS Office Suite (Outlook, Word, Excel, PowerPoint) and virtual meeting platforms (Zoom, Webex, etc.).
