About the position

The Project Coordinator will work directly with the Menus and Project Management Team on all facets of project execution. This role requires a qualified candidate who can effectively interact with inter-departmental team members and demonstrate flexibility in a fast-paced environment. The Project Coordinator will primarily support the Menu Project Manager and will be responsible for working cross-functionally with internal teams to ensure open and timely execution of projects. This includes planning effectively, multi-tasking, and utilizing time management and organizational skills to meet aggressive deadlines. The individual will set priorities and maintain organizational and filing systems to ensure smooth operations. In addition to project management, the Project Coordinator will manage the updating, ordering, printing process, distribution, and invoicing of all system-wide menus and promotional materials. This includes working with vendors to create and maintain ordering sites for menus and point-of-purchase materials, collecting estimates, and obtaining sign-offs on final creative from lines-of-business owners. The role also involves managing relationships with menu and promotional vendor partners and ensuring that files are transferred to the Digital Services and Marketing team for online menu updates. The Project Coordinator will be responsible for the production of various types of menus, including dine-in, To Go, catering, beverage/bar, kids, faxable, and Braille menus, as well as different menu boards across the system. The individual will align and execute brand objectives in partnership with cross-functional teams, collaborating with internal partners to resolve issues as they arise. The role may require working odd hours and staying late when needed to provide support outside of normal work hours. Other duties may be assigned as necessary, and the individual is expected to perform these activities in the normal course of work.

Responsibilities

  • Primary support to Menu Project Manager.
  • Work cross-functionally with internal teams to communicate and collaborate on project execution.
  • Plan effectively and multi-task to meet aggressive deadlines.
  • Utilize time management and organization skills to maintain filing systems.
  • Respond promptly to ensure open communication with internal teams.
  • Manage the updating, ordering, printing process, distribution, and invoicing of system-wide menus and promotional materials.
  • Work with vendors to create and maintain ordering sites for menus and POP materials.
  • Collect estimates and get sign-offs on final creative from lines-of-business owners.
  • Manage relationships with menu and promotional vendor partners.
  • Ensure timely transfer of files from menu vendor to Digital Services and Marketing team for online updates.
  • Oversee menu production for various formats including dine-in, To Go, catering, and more.
  • Align and execute brand objectives in partnership with cross-functional teams.
  • Collaborate with the Information Services team by creating job tickets for menu rollouts.

Requirements

  • Bachelor's Degree in Marketing or related field; experience may substitute for part of preferred educational qualifications.
  • Minimum 2 years of related experience; restaurant/food service preferred.
  • Experience in a Franchise organization is a plus.
  • Ability to work well within a fast-paced environment.
  • Effective written and verbal communication skills for interfacing with individuals of differing knowledge levels.
  • Demonstrated problem-solving and analytical skills.
  • Ability to manage vendor relationships and address issues professionally.
  • Ability to multi-task, prioritize, and organize work to meet deadlines and multiple requests.
  • Self-motivated with strong initiative to learn and a self-starter able to deal with abstract and non-routine issues.
  • Ability to work in a team-oriented, collaborative environment.
