About the position

The National Institute for Children's Health Quality (NICHQ) is seeking a dedicated and detail-oriented Project Coordinator to join our team. This position is ideal for individuals with 1-2 years of administrative or project management experience who are passionate about improving children's health outcomes. The Project Coordinator will play a crucial role in supporting various project activities and deliverables, working collaboratively with multiple team members to ensure the successful execution of projects. The role requires a strong commitment to our mission of addressing social determinants of health and achieving equity in children's health systems. In this position, the Project Coordinator will be responsible for coordinating project activities, which include managing administrative details such as note-taking, calendar scheduling, and follow-ups. The individual will prepare meeting agendas, facilitate discussions, document key decisions, and support follow-up actions. Additionally, the Project Coordinator will assist in developing and managing project plans, tracking deliverables, and ensuring that all project milestones are met in a timely manner. The role also involves managing logistics for both in-person and virtual events, including preparation of materials, technical needs, and day-of coordination. The Project Coordinator will contribute to the development of key project documents, such as reports and presentations, and will support the technical assistance process by monitoring submissions and scheduling consultations. Serving as a liaison with project partners and maintaining online communication platforms will also be key responsibilities. The Project Coordinator will provide excellent customer service and maintain the project’s general email inbox, ensuring that all inquiries are addressed promptly. Responsibilities

  • Coordinating project activities including heavy administrative details: note taking, calendar scheduling, follow up, reminders, etc.
  • Preparing agendas for and facilitating meetings, documenting key decisions and supporting follow-up
  • Assisting in the development and management of project plans (e.g., schedule, deliverables, project status reports) and tracking deliverables
  • Managing coordination of in-person and virtual events, including logistics, preparation of and mailing materials, set-up, technical needs, and day-of coordination
  • Supporting development of key project documents, including reports (e.g. project reports, funder reports, board reports) and presentations
  • Contributing to project planning and decision making
  • Supporting technical assistance (TA) process including monitoring TA submissions, scheduling TA consultations, follow-up and data entry
  • Serving as liaison with project partners and other key individuals/groups, as requested
  • Managing and maintaining online communication and data platform (Coral)
  • Supporting the project team and collaborating with Communications department on project promotion and communication
  • Providing thorough and timely customer service and maintaining the project general email inbox
  • Other duties as assigned

Requirements

  • Bachelor's degree and/or relevant experience in Public Health or related field
  • 1-2 years previous work experience in administration or project management preferred
  • Strong communications skills, both oral and written
  • Ability to communicate sensitive information with a variety of stakeholders in a tactful manner
  • Ability to multi-task and prioritize, work both with oversight and autonomously
  • Highly organized and skilled at managing numerous details for more than one project
  • High level of comfort and strong learning capability to use office systems, computers, and MS Office Suite: Outlook, Word, Excel, PowerPoint and virtual meeting platforms (Zoom, Webex, etc.)
  • Prior experience coordinating in-person and virtual events strongly preferred
  • Strong interest in ongoing professional development and growth
