About the position

The Project Coordinator at Weis Builders Inc. plays a crucial role in ensuring the success of construction projects through effective collaboration and support for the project team. This position involves managing communication with various stakeholders, organizing project documentation, and assisting in financial processes to facilitate smooth project execution.

Responsibilities

  • Develop lasting relationships with clients, architects, and vendors to support project planning and company growth.
  • Draft and distribute meeting minutes for various project meetings including Project Kick-Off, OAC, PRM, Job Progress, Closeout, and Post Mortem meetings.
  • Work closely with Accounting to ensure a successful payment application process, including due diligence with subcontractors.
  • Request, receive, and review subcontractor insurance certificates to confirm compliance.
  • Coordinate with Accounts Payable for proper invoice routing and payment.
  • Participate in Project Kick-Off Meetings and other necessary meetings.
  • Collect all required project documentation from subcontractors, including tiered subcontractor and supplier information, returned contract documents, warranties, and closeout documents.
  • Assemble subcontract documents from the Project Manager, issue subcontracts, and follow up until they are returned.
  • Process vendor change orders from the Project Manager.
  • Create and maintain closeout logs until all documents are received for submission to the owner.
  • Assist in planning and executing group events.
  • Manage office supplies inventory, ordering, and organization.
  • Handle communication with the office landlord and third-party vendors.
  • Assist in onboarding new Associates.
  • Manage incoming and outgoing physical mail and third-party delivery service packages.
  • Answer phone calls and route them to appropriate associates.
  • Setup and maintain organized project files.

Requirements

  • 2 years of relevant experience in construction.
  • Strong time management skills and a positive attitude.
  • Ability to quickly develop rapport with others in a collaborative environment.
  • Good technology skills and comfort with learning new systems and processes.
  • Experience with Microsoft Office applications (Outlook, Excel, Word, Access, PowerPoint).
  • Experience with certified payroll (preferred but not required).
  • Experience with Textura, Procore, CMiC (preferred but not required).
  • Professional composure and integrity.

Nice-to-haves

  • Experience with certified payroll processes.
  • Familiarity with project management software such as Procore or CMiC.
