About the position

P1 Construction, LLC., is seeking a Project Coordinator for the Lenexa, Kansas office. This position is clerical and provides administrative support to project management teams, playing a vital role in information management for assigned projects. The Project Coordinator will be an important part of the assigned project management teams, contributing to the success of the company by effectively and efficiently supporting project managers and, when required, other P1 leaders. The role also involves providing logistic support and coordination needed to plan and execute important meetings and conferences. The Project Coordinator will be responsible for managing various administrative tasks, including requests for information, correspondence, and documentation related to project management. This includes preparing, editing, electronically storing, and monitoring project management correspondence such as scope and bid letters, addendums, drawings, specifications, submittals, and change proposals. The coordinator will also process subcontracts, monitor subcontractor compliance, and assist project managers with P1 processes and procedures. In addition to administrative duties, the Project Coordinator will plan, coordinate, and support meetings, training sessions, and conferences, as well as coordinate travel for project managers and other P1 leaders. This position requires excellent organizational skills, attention to detail, and the ability to work in a fast-paced environment while maintaining accuracy.

Responsibilities

  • Requests, receives, prepares, edits, electronically stores, and monitors basic project management correspondence.
  • Processes subcontracts and monitors subcontractor compliance such as certificates of insurance and bonds.
  • Orders and produces copies of plans and specifications as needed.
  • Saves copies of P1 Change Proposals in project management software and updates status.
  • Expeditiously processes contracts and change orders when required.
  • Orders and submits certificates of insurance and bonds to customers as needed.
  • Sends bid requests and gathers quotes from suppliers as directed by the project manager.
  • Prepares committed cost reports as required by the project manager.
  • Prepares and assembles Operations and Maintenance (O&M) manuals.
  • Plans, coordinates, and supports meetings, training sessions, and conferences.
  • Coordinates travel for project managers and other P1 leaders.

Requirements

  • Must have a high school diploma or equivalent; an Associates Degree is preferred but not required.
  • At least 2 years of full-time administrative assistant related work experience is required; previous construction industry experience is preferred but not required.
  • Accurate typing skills and proficiency in using database, email, internet, spreadsheet, and word processing applications, specifically Microsoft Office products (Word, Excel, PowerPoint, Outlook, and Windows).
  • Excellent oral and written communication skills.
  • Ability to work in a fast-paced environment while maintaining accuracy.
  • Fast and accurate data entry skills.
  • Ability to work independently and maintain confidentiality.
  • Excellent organizational skills and detail-oriented.
  • Good reasoning ability and problem-solving skills.
