About the position

Piller Power Systems Inc is seeking a Project Coordinator to join our dynamic team in Middletown, NY. The Project Coordinator will assume overall responsibility for various projects, including Aftermarket Sales and Ground Power Equipment, typically managing budgets of less than $100,000 from the point of order entry. The successful candidate will ensure that assigned projects meet or exceed scheduled goals and quoted profit margins while managing them proactively. This role requires identifying, obtaining, and monitoring necessary resources, as well as reporting critical issues to management in a timely manner. The Project Coordinator will support Sales, Engineering, Projects, and Service needs as required, working closely with Project Managers, customers, vendors, and internal departments to ensure customer satisfaction both commercially and technically. In addition to project management, the Project Coordinator will be responsible for document control, including maintaining the part number database and ensuring the integrity of controlled documents. This includes organizing and scheduling the assembly of Piller system submittal documents, O&M manuals, and job folders. The role requires collaboration with various departments to track and manage product and system documents, ensuring they are reliable sources of information. The Project Coordinator will also assist drafters, designers, and engineers in generating technical drawings and will perform all tasks in an ethical and professional manner, maintaining a high level of customer satisfaction. The position involves taking minutes during weekly project review meetings, updating invoicing/payment statuses, and coordinating with engineering, purchasing, shipping, and invoicing schedules. The Project Coordinator will also assist the Accounting Department with payment issues, track shipments from vendors, and coordinate production and service department personnel for project-related work. This role is essential in managing the project closeout process, ensuring all documentation is complete and compliant with Piller's standards, and preparing necessary reports and manuals according to customer specifications.

Responsibilities

  • Assume overall responsibility for assigned projects and coordinate project team activities.
  • Review purchase orders, contract documents, and vendor quotations for completeness and accuracy.
  • Prepare quotations for change orders as needed.
  • Generate and assist with detailed project-related technical submittals and O&M documents.
  • Establish working relationships with customer contacts and contractors.
  • Support Project Managers with coordination of engineering, purchasing, shipping, and invoicing schedules.
  • Assist Accounting Department with resolution of payment issues.
  • Track and expedite shipments from vendors.
  • Coordinate and schedule production and service department personnel for project-related work.
  • Coordinate commissioning, site acceptance testing, and training.
  • Obtain customer approval of test procedures prepared by Piller.
  • Identify areas for improvement in products and internal procedures.
  • Take weekly project review meeting minutes and update invoicing/payment status.
  • Assign design/drafting and documentation tasks and track for on-time completion.
  • Utilize AutoCAD to assist designers and drafters with the creation of drawings.
  • Manage Piller project closeout process, including collecting warranty details and preparing service closeout forms.
  • Maintain Solomon Part Number Database and assign part numbers according to procedure.
  • Keep site documentation folders up to date and assist service technicians with supporting documents.
  • Compile training manuals, submittals, and operation & maintenance manuals according to customer specifications.
  • Share documents with customers using Piller Cloud or specified platforms.
  • Ensure all documents submitted for archiving comply with Piller's document standards.

Requirements

  • Associate's degree required; Bachelor's degree in engineering or similar preferred.
  • Advanced proficiency with MS Office, specifically MS Project, Excel, and Adobe Acrobat.
  • Experience with AutoCAD or similar drawing programs is a plus.
  • Experience in a related electrical engineering field is required.
  • Experience dealing with customers in a fast-paced, project-oriented environment is necessary.
  • Excellent computer skills, specifically in Microsoft Office products including Word, Excel, Outlook, Publisher, and Projects are required.
  • Detail-oriented and organized with the ability to work in a fast-paced environment.
  • Ability to communicate effectively with both internal and external customers.

Nice-to-haves

  • Experience with Microsoft Dynamics SL is a plus.
  • Ability to accurately translate technical documentation from German to English is desired.
