About the position

We are looking for a highly organized and detail-oriented Project Coordinator to join our team at JS Plastering, Inc. In this role, you will be instrumental in ensuring the successful execution of our projects by coordinating various activities, communicating with stakeholders, and maintaining adherence to project timelines. The ideal candidate is a self-motivated individual who can manage their responsibilities independently and proactively approach tasks with enthusiasm. As a Project Coordinator, you will be responsible for understanding the scope of operations by thoroughly reviewing and interpreting contract scopes to ensure understanding and alignment with project objectives. You will efficiently manage and prioritize your individual workload to meet project deadlines, proactively addressing assigned responsibilities and actively seeking out new challenges to improve processes and outcomes. You will support project managers by assisting with communication, document management, coordination, and monitoring of project activities. Your administrative duties will include organizing electronic and physical project files, ensuring easy access to all necessary documents, and handling initial administrative tasks while gathering required documentation from companies, clients, and stakeholders. Additionally, you will provide support to project managers, operations team members, and accounting when needed, serving as a backup for other administrative duties as required. You will participate in regular meetings and present current data based on tracking reports, upholding confidentiality and discretion with company and customer records. Maintaining a well-organized e-filing system for various documents, including site photos, daily reports, safety records, and relevant communications will also be part of your responsibilities. You will assist in the identification, documentation, submission, and approval of change orders, demonstrating flexibility and adaptability to changing business needs and project requirements. You should be willing to assist other departments under management's direction to meet customer demands. A detailed list of job tasks can be provided upon request.

Responsibilities

  • Managing Change Orders: Assisting in the identification, documentation, submission, and approval of change orders.
  • Flexibility and Adaptability: Being prepared to adapt to changing business needs and project requirements.

Requirements

  • Strong organizational and multitasking abilities.
  • Self-motivated with a strong work ethic and a proactive approach to tasks.
  • Ability to manage responsibilities independently and proactively.
  • Meticulous attention to detail in project documentation and reporting.
  • Capacity to adapt to changing project requirements and priorities.
  • Proficient in Microsoft Office Suite and advanced computer skills.
  • Bilingual (Spanish) is a plus.

Nice-to-haves

  • Experience in construction management software.
  • 1 year of experience in a coordinator or related role (preferred).
  • 1 year of administrative experience (preferred).
