About the position

The Project Coordinator at E4 Utility Design plays a crucial role in supporting the Project Manager throughout the dry utility planning process. This position involves coordinating various aspects of utility design and installation, ensuring effective communication among project stakeholders, and maintaining organized project documentation. The ideal candidate thrives in a fast-paced environment, demonstrating strong organizational skills and the ability to manage multiple tasks efficiently.

Responsibilities

  • Support Project Manager in all aspects of dry utility planning from due diligence to installation coordination.
  • Request project information from utility companies, civil and architectural firms, and project team members.
  • Compose and process routine correspondence with clients and utilities to obtain project information.
  • Prepare submittals, transmittals, and pre-trench packages as directed by the Project Manager.
  • Request Will Serve Letters and Utility Facility Maps.
  • Create Point of Connection (POC) exhibits.
  • Assist team members with various tasks as needed, demonstrating leadership behavior in client interactions.
  • Distribute updated project information to team members.
  • Coordinate with the Project Manager on project progress, including tracking, scheduling, contracts, and invoices.
  • Coordinate utility submittal packages and preparation of contract documents, easements, and invoices.
  • Attend conference calls with clients and project team members to discuss project status.
  • Organize and maintain project documentation and file systems on the server.
  • Setup project folders using the internal workflow management system and maintain project websites.

Requirements

  • Bachelor's or Associate's degree preferred.
  • Proficiency in Microsoft Office Suite.
  • Proficient working knowledge of Bluebeam and/or Adobe editing tools.
  • Ability to navigate screen capture tools (e.g., Snagit).
  • Good written and verbal communication skills.
  • Strong reading comprehension and ability to troubleshoot issues.
  • Ability to multi-task, prioritize, and manage time effectively.

Nice-to-haves

  • Experience in utility design and consulting.
  • Familiarity with project management software.
